HR Assistant

Sellafield / Whitehaven

Full time - 40 hours per week

  • Support with the delivery of resource plans including recruitment, selection, screening and vetting standards and activity to support the HRM and Operational teams to deliver the contract resource levels

  • Day to day delivery of activities within the admin for operations, HR and L&D departments
  • To develop and maintain working relationships with key stakeholders in the business
  • Control the annual register of appraisals, biannual reviews and all related Mi review activities
  • Deputise to the HRM to be a point of contact for stakeholders, including senior management, Group HR and Client liaison, as appropriate
  • Support HRM and operational management in the delivery of the people plan
  • Liaison with the Mitie L&D / HR /QHSE colleagues and Sellafield QHSE team to lead on mental health, occupational health, and employee welfare matters /initiatives, as appropriate
  • Produce HR reports, as required for the business
  • Supporting all parts of the HR function, including ER case issues, absence management and Occupational Health referrals

Main duties

  • Providing advice and guidance to the management teams and colleagues on all people related matters
  • Delivery of activities within the administration team on site at Sellafield for all people related matters
  • Delivery of the administrative activities within the Learning and development team
  • Work with Group People Support Services to assist management in the undertaking of all case management
  • Supporting with key areas of compliance to include suspensions, right to work, vetting, HR, L&D, and recruitment
  • Promote company peoplebased initiatives
  • Support the HRM with reporting on metrics, KPI's SLA's such as recruitment, resource planning, L&D, cost control & right to work
  • Support the HRM to promote and embed performance management culture across the business & assist with the Mireview appraisal process
  • Help to compile monthly HR reports as required for the region/business area, completing a monthly people report
  • Develop and maintain positive working relationships with Trade Unions, support local TU matters
  • Ensure employee files, learning and development training records and compliance requirements are maintained on the contract
  • Ensure compliance with GDPR and compliance of information storage across the contract
  • Support the HRM to facilitate the apprenticeship strategy
  • Attend regional and national meetings as required to represent the People agenda.
  • Support operational management teams on people policy activities such as notetaking and letter writing for disciplinary, grievance and investigation meetings
  • Support operational management teams on the management of absence in the contract
  • Support operational management teams on any other reasonable administrative task such as uniform, equipment and supplies

Person Specification

  • Experienced HR professional in a commercially focussed environment.
  • Ability to deal with high volume and fast paced Business and reprioritise regularly.
  • CIPD or equivalent qualified or willingness to work towards
  • Computer literate; Microsoft suit, SAP, SharePoint
  • Ability to drive the HR agenda with managers.
  • Team player and confidence to build relationships with the business
  • Adaptable communication style to meet needs of different people groups.
  • Confident and articulate communicator.
  • Strong commitment to customer service; able to quickly establish credibility and build rapport and trust.
  • Demonstrate understanding of the need for confidentiality
  • Flexible, adaptable and ability to travel on an occasional basis.
  • Deputise and represent HRM as required in their absence
  • Full UK driving licence preferable
  • Able to work under pressure and to tight deadlines.

Health and Safety responsibilities

  • Follow Group and company policies and procedures at all times;
  • Report any apparent deficiencies in systems of work or equipment provided that may result in failure of service delivery or risk to health and safety or the environment;
  • Use all work equipment and personal PPE properly and in accordance with learning and development received;
  • Report any issues or learning and development needs to your Line manager and /or via your divisional incident reporting system
