REPORTING TO:
PRACTICE ADMINISTRATOR/PRACTICE MANAGEMENT

Job Summary:


The role of GP Administrator is to work with both our clinical and non-clinical teams to support the delivery of the highest quality primary care service to our patients.

More specifically, the Administrator will be responsible for helping to manage administrative aspects of our patients' care including referrals, test results, hospital letters, patient notes, medical reports etc.

The Administrator will have skills and knowledge to support the practice with the use of technology, clinical searches and ad-hoc projects.


Role details:

Sorting incoming patient letters and sending to the correct personnel for actioning in a timely manner.

Planning and updating our appointment book on the clinical system with a high degree of attention to detail.


Scanning and filing patient information into computerised records using our clinical system (Systmone) i.e., medical documents, hospitals reports and letters; coding and ensuring appropriate action is taken when completing this including attaching accurately to the relevant patient's record.

Data entry of relevant patient information e.g. new/missing diagnosis, investigations, results, family history, ethnicity, smoking status, medication from hospital letters.

Managing and maintaining referral workflow on eRS, ensuring constant attention to detail.

Typing dictated GP referrals and other letters on Lexicom


Ensuring 2WW (2 week wait cancer referrals) or any urgent referrals are sent to hospitals the same day of dictation, consistently ensuring attention to detail.

Communicating with local hospitals and departments with queries.

Summarising new patients records and ensuring maintenance of medical record summary.

Processing and completing medical report requests from patients or third party according to practice protocol. Providing invoices for chargeable work and ensuring this is updated and accurate on the Practice's private work spreadsheet.

Dealing with telephone and online enquiries relating to all the above tasks.

Ensuring where possible that tasks are actioned, making appointments for patients when necessary to provide support to the reception team.

Dealing with Dosette box, batch medication requests, changes and appliance companies whilst supporting reception with repeat medication requests

Registering new patients on the system and amending up-to-date information e.g., change of name etc

Sorting pathology results and forwarding onto the appropriate clinicians.


Attend staff meetings as required with a willingness to learn and be responsible for other administrative tasks directed by the practice manager.

Reception duties when required to cover staff shortages and annual leave.

Job Type:
Part-time

Part-time hours: 30 per week

Salary:
From £10.00 per hour
