Facilities Assistant at Apple Studios


Reporting to:
Facilities Lead

Job Description:

To support and learn from the Studio Management Team in the daily operations of the Studios.

The Facilities Assistant should always maintain a courteous and accommodating attitude towards studio clients.

Duties Include:
- Supporting the Facilities Coordinator in minor repair works on the building fabric like door handles, lights, etc.
- Assisting with compliance testing at both sites and maintaining records on shared drives.
- Managing general work systems like permission procedures, key management, and contractor service records.

- Coordinating with contractors and vendors on site for security access, site inductions, covid testing, and NDA's while minimizing disruption to production.

- Handling snow clearing/gritting using on-site equipment.
- Aiding the studio management team with site and production-related tasks.
- Assisting the Stage Manager with daily duties and administrative tasks.
- Collecting supplies offsite.
- Familiarizing with all emergency/fire procedures established by production and the client.

- Contributing to a safe working environment by following site-specific safety protocols and reporting hazards to the Stage Manager/Facilities Coordinator.

- Learning and adhering to 'Studio on-set' etiquette and interacting effectively with all departments and production crew.

- Providing excellent customer service when addressing queries/requests from production crew and ensuring important information is passed to the Stage Manager/Facilities Coordinator.

- Supporting with client recces and onsite meetings.
- Ordering and delivering refreshments when hosting client recces/meetings.
- Shadowing senior team members during client recces to maintain a high level of service.
- Updating MBS Management Studio calendar and Studio Schedule weekly.
- Performing administrative tasks including photocopying, printing, and laminating.
- Fulfilling other duties assigned by the Stage Manager, Site Rep, Facilities Coordinator, or Company Management.

Person Specification:
- Must have a valid UK driving license and be able to commute.
- Proficient in IT and basic Microsoft operating systems.
- Some experience in building facilities, working with contractors and suppliers.
- Desired skills/training/qualifications in basic building maintenance (painting, electrical, plastering, etc).
- Willing to assist onsite clients with a friendly and polite demeanor.
- Capable of effectively communicating with all Studio visitors and handling information, instructions, and advice.
- Able to work under pressure with changing deadlines.
- Eager to support various departments and enthusiastic about learning.
- Self-motivated and organized.

Additional Considerations:
- Working hours are 40 hours per week from 07:00 to 20:00, Monday to Saturday. Occasional weekend and evening work may be required, arranged in advance with the Production team or Apple Studios.
- Flexible to travel between Hoddesdon and offsite Workshops (Enfield) regularly.
