The role will report into the General Manager and sit within the Technical Delivery / Projects function.

Role Description:


As a Resourcing & Personnel Coordinator you will be working closely with a passionate and ambitious team at Ordtek by providing diligent assistance by overseeing resourcing and project operations.


As Resourcing & Personnel Coordinator you will be responsible for ensuring the sourcing and provision of client representatives and other project-based client support personnel roles.

We are looking for a dynamic individual who can continue to build on Ordtek's existing offerings and processes and support the growing needs of the business.


Key Responsibilities will include:

  • Liaise regularly with Ordtek's Technical Delivery team to understand client representative, onshore, and offshore project personnel requirements for current projects and tenders (Geotechnical, Geophysical, MMO, PAMO, UXO, EOD, HSE etc.)
  • Connect with potential client representatives and project personnel, establishing availability and suitability for live project and tender requirements as well as continue to expand and maintain our offshore personnel database (UK, Ireland, Europe, APAC & USA) by utilising LinkedIn, gaining referrals off existing network, advertising opportunities etc.
  • Planning and coordinating offshore personnel rotations to meet project requirements and react accordingly to changes in project programmes and deliver personnel to the project vessels in a timely manner.
  • Updating and maintaining personnel tracking and planning systems ensuring optimal planning of resources and avoiding double booking of personnel, ensuring strong relationship building with Offshore Reps and other technical delivery personnel.
  • Maintaining internal and client databases related to offshore personnel or project requirements.
  • Arrange required training for personnel (GWO, BOSIET, Medical).
  • Arranging logistics to mobilise to/from projects on behalf of offshore personnel using Ordtek's appointed travel agency or through direct methods. Provide travel itineraries to offshore personnel and project team in a timely manner, ensuring route and carrier options are most appropriate based on project needs and personnel departure point and destination.
  • Arranging subcontract agreements with potential personnel and personnel agencies (when required) and preparing project schedules with project details and rates.
  • Coordinate briefings/debriefs before and after assignments, capturing feedback and reporting any issues back to project leads.
  • Identifying, recommending, and implementing system or procedural improvements in collaboration with the Business Operations team.
  • Maintaining reporting directory for client reports.
  • Supporting ongoing HR and Financial requirements related to projects and companywide reporting.
  • Acting as a crosspollinator between operational and technical departments, driving open communication and ensuring we are all driving towards a common goal.
  • Supporting the training and ongoing development of contracted personnel.
  • Championing standardisation and monitoring adherence to procedures and legislative guidance to support in our audit and industry accreditation activities.

Key responsibilities will also include:

  • Tracking offshore personnel requirements for tenders and live projects. Including rotation planning and crew change requirements.
  • Assist with marketing Ordtek's offering of provision and management of Offshore Client Representative and other Onshore and Offshore client support roles both as a standalone service and as part of the larger organisational offering.
  • Client liaison and elements of project management as required to support technical delivery teams.
  • Finance and scope management.
  • Coordinating specialist subcontractors for expert advice and support.
  • Mentoring junior staff.

Expertise required:

  • Excellent communication skills and the ability to work both independently and within teams;
  • Ideally have a good knowledge of the core competencies required for each of the offshore personnel disciplines and an understanding of the offshore survey and site investigation industry.
  • An understanding of the processes required to mobilise personnel to international, offshore worksites (ticketing, visa, work permits, immunisations etc.). With desired knowledge of EU and US law specifically.
