Overall Purpose of Post:
Coordinating and managing exams, exam results and the timetable (including lesson timetabling, groupings, rooming, staffing) to ensure public exams, mock exams, the curriculum and cover are all run effectively and efficiently.

Operations Director or Data Manager may deem appropriate.

Specific Data and Exams Support Role
Continuous Improvement:
1) Ensure all timetable and exams services provides outstanding world class service to all stakeholders.
2) Work with the Data Manager and the Student Experience Team to continuously suggest and plan improvements to timetable, cover and exams support including new ways of using software and use of new systems that help to create efficiencies.
Timetable and Data Support
1) To complete the transfer of all student timetable data at the end of the academic year and ensure that new and updated timetables are available printed for students and staff.
2) Liaise with the relevant staff to ensure that all timetable, options and teaching group changes are recorded accurately and communicated effectively.
3) Work with the Strategic Director for Student Experience to plan, create, room and populate the Academy timetable each year.

4) Liaise with staff co-ordinating events across the Academy to ensure appropriate rooming is provided.
5) Arrange for efficient and cost-effective cover of absent colleagues with due regard to quality of education provided for students. Including the deployment of Cover Supervisors and Supply Teachers as needed.
6) Liaise with the Student Experience Team in order to maintain the planned absence calendar effectively ensuring the correct balance between staff needs/requests and quality of provision in the classroom.
7) Alert the Student Experience Team to potential understaffing situations as they arise and advise on whether supply agency staff may be required.
8) Coordinate, greet and support any supply teachers contracted to work at the
Academy, ensuring all safeguarding vetting and appropriate checks are in place and prepare any related timesheets for approval.
Exams Support
1) To liaise with Team Leaders regarding all examination/assessment entries to ensure that entries are submitted in advance of awarding body deadlines.
2) To keep up to date with all JCQ and awarding body regulations, policies and procedures and ensure that all public examinations take place according to the relevant regulations.
4) To comply with awarding body requirements regarding estimated entries, estimated grades, controlled assessments, coursework and any other administrative procedures.
5) To produce examination timetables as soon as practicable, to allow for rooming, resolving clashes, liaison with the Site Team, invigilation and any other issues to be arranged in liaison with the Student Experience Team.
6) To receive and log in examination papers and other materials sent by
Examination Boards and store them in the approved secure storage facilities and then despatch in accordance with regulations.
7) To liaise with the HR Officer and the Student Experience Team regarding recruiting invigilators as required and to arrange appropriate training and line management for all invigilators.
8) To maintain accurate records of all examinations, including seating plans and registers, according to JCQ and awarding body regulations.
9) To manage the receipt of examination results on results days and organise the distribution of results and certificates to students and to deal with any resulting enquiries and appeals from staff, students, parents/carers and former students regarding examination results.
11) To liaise with the MAT PR person to coordinate their attendance at results days and to be the link with any students whose details are published.
