Office and Accounts Administrator (Initial 6-Month Contract)


Carbon Architecture is an established, expanding company that has a strong reputation for delivering Energy & Process Improvements and wider sustainability solutions, services and products to the FMCG sector and NHS.


This is an ambitious organisation with a wealth of engineering expertise in energy, water and product waste efficiency solutions for industry.

Alongside its core net zero carbon, energy and waste consulting services, the company is now establishing a solid platform for growth based on industrial process analytics technology and associated services.


In our 13th year, the management team continues to expand the business, and requires highly professional support staff to manage the office and administrative functions.

Reporting to the Office Manager, the key purpose of this role will be to provide support for all back
- office functions during a busy period where new operational and finance systems are being implemented, and to assist in the smooth running of the Carbon Architecture office. The post-holder will be experienced in both accounts and general administration duties.

  • Purchase ledger duties including checking and matching purchase orders, and invoices, obtaining bank details from suppliers, reconciling supplier statements producing payment runs for approval and dealing with any purchase ledger queries from suppliers and staff.
  • Support the Office Manager with the maintenance of computerised accounting systems.
  • Support Office Manager and the Finance transition team with preparation and cleansing of data for the new systems.
  • Maintain administrative systems including input of finance information into the project management and accounting software.
  • Undertake credit control activity, including raising and issuing invoices, processing cash receipts and issuing statements.
  • Process staff expenses, ensuring compliance with relevant policies.
  • Provide cover for Office Manager as required.
  • General administration photocopying, filing, scanning and other adhoc tasks
  • Assist with organising company events
  • Carry out other duties consistent with the jobholders knowledge and skills which are necessary for the satisfactory completion of contracts or business goals.
  • Participate in company training opportunities and/or continued professional development.

And as a Office and Accounts Administrator with Carbon Architecture, youll do it by

  • Good organisational and administrative skills with a systematic approach to work
  • Reliability responsible and dependable.
  • Independence able to manage own workload with minimum supervision. Good time management skills with the ability to prioritise effectively.
  • Attention to detail job requires being accurate in interpreting and communicating commercial details. Accurate data input requirements on internal and external works management systems.
  • Proven understanding of the demands related to working in a busy small finance and operational support team.
  • Possess energy and enthusiasm with a 'can do' positive attitude.
  • Good communication skills (written & verbal)
  • Excellent numerical skills
  • Proven administration experience
  • Proficient in MS Office suite and Google Workspace
  • Ability to work confidentially and to treat issues with sensitivity
  • Ability to manage a number of tasks concurrently
  • Knowledge and experience of Purchase & Sales Ledger

  • GCSE Maths & English Grade C/Grade 4 or above
  • Educated to Advanced Level or equivalent in Business, Management, Administration or a related field or equivalent workplace experience.
  • Access Accounting Software knowledge
  • Xero accounting software knowledge
  • AAT or equivalent
  • Experience of WordPress and WooCommerce
