Job Description

Assystem Energy & Infrastructure are recruiting for a

Junior


Administrative Assistant to work at our customers site in Derby on a contract basis.nThe primary objective of the administrative assistant is to support the completion process by efficiently managing and organising construction-related documents.

This includes scanning, filing, and ensuring accurate record-keeping.

nJob title:

Junior Administrative AssistantnContract length: 9-12 MonthsnLocation: DerbynContract type: PAYE via Umbrella solutionnKey responsibilities include but are not limited to:nResponsibilities:nDocument Scanning and Filing:nScan physical documents (such as lifetime quality records, O&M manuals and other documentation required for Completion) into digital formats.nOrganise scanned files in a logical and easily accessible manner.


nData Entry and Record-Keeping:


nEnter relevant data from documents Microsoft Excel spreadsheets.nUpdate completion status, deadlines, and other relevant information.nEnsure accuracy and consistency in data entry.


nCommunication and Coordination:


nCollaborate with project managers, engineers, and other team members.nCommunicate any discrepancies or missing information related to documents.nCoordinate with external stakeholders (vendors, subcontractors, etc.) as needed.


nQuality Control:


nReview scanned documents for legibility and completeness.nIdentify any errors or inconsistencies and rectify them promptly.nMaintain high standards of quality in document management.


nRequirements:

nProficiency in using office software (Microsoft Office, Sharepoint, etc.).nSupply IT equipment.nWould need to be site-based.nStrong organisational skills and attention to detail.nAbility to work independently and meet deadlines.nFamiliarity with construction terminology and processes (preferred but not mandatory).nExperience working for Rolls Royce (preferred but not mandatory)nReporting:nThe administrative assistant will report directly to the Contracts Manager.
