JOB DESCRIPTION

Job Title:
Circuit Administrator

Lay Employee Base:
Working at Trinity Methodist Church and Community Hub, Wesleyan Row, Clitheroe.

Responsible To:

The employee will be employed by the Clitheroe Methodist Circuit and will be under the direction of the superintendent minister.


Purpose & Objectives:

The appointment will provide a gifted, experienced and skilled administrator an opportunity to facilitate the day-to-day administration of the circuit, working in close co-operation with the ministers and other office holders of the circuit.

This position requires an exceptional degree of professionalism, working in an ever
- changing environment. Qualities such as flexibility, multi-tasking, sound decision making, self-motivation and discretion are essential to this role. This is a great opportunity to develop and grow in this role.

Key Responsibilities:

Secretarial & Administration:

  • Undertake secretarial and administrative duties required by the Superintendent Minister, Circuit Staff and office holders.
  • Lead administration related to the 5 church buildings and 12 other properties (including Graveyards) with TMCP (Trustees for Methodist Church Purposes who nationally look after aspects of Methodist property).
  • Maintain the annual coordination/production/printing & distribution of the Circuit & Churches Directories.
  • Act as Secretary to the Circuit Leadership Team meetings.
  • Act as Secretary to the Circuit Meeting. This involves three evening meetings annually, sending out calling papers and taking and distributing minutes.
  • Coordinate the Circuit charity trustee forms and update details on the Charity Commission website.
  • Keep up to date with administrative regulations relating to the Methodist Church & advise on any necessary changes with national legislation which affect the work of the circuit e.g. GDPR, Safeguarding etc.
  • Administration for and assistance with recruitment of lay staff.

Communications:

  • To maintain and manage communication within the circuit using the most appropriate channels. This communication will include the circuit minsters; lay employees; the Circuit Leadership Team; office holders and appointed representatives from each church in the circuit.
  • Ensure all publicity regarding Circuit and Church events is shared and communicated clearly.
  • Contribute to the regular updating of the Circuit website.

General:

  • Always protect the interests and reputation of the Clitheroe Methodist Circuit by maintaining confidentiality.
  • Review and implement procedures to ensure a clear, efficient and effective office operation.
  • To undertake any duties perceived as relevant to the role with the approval of the superintendent minister.

Terms and Conditions:

  • Terms of appointment
    :permanent, with an initial three months probationary period.
  • The salary will be £13.00/hour (prorata annual rate of £8,112 for 12 hours per week). Any additional hours worked will be paid at a prorata hourly rate or may be taken as time off in lieu in consultation with the circuit superintendent.
  • Normal working pattern: 12 hours per week over 2/3 days by agreement but to include 2 evening meetings /year.
  • All reasonable expenses will be reimbursed.
  • 28 days statutory annual leave entitlement per year (pro rata for parttime workers).
