A new and exciting opportunity has arisen for a Band 3 Administrator to join our brand new Rough Sleepers Mental Health team.


Our team will be based in and around Leeds and will be a small Multi-disciplinary team consisting of a Clinical Team Manager, Mental Health Practitioner, and Community Support Worker in addition to partner services across the city of Leeds.

The specialist team will have the time and space to deliver care directly to those service users using a trauma informed approach.


The job holder will take responsibility for the provision of a professional, efficient and confidential administrative and PA service to the Multi-disciplinary under the direction of the Clinical Team Manager and supported by an agreed job plan.

The job holder will fully support the administrative team as necessary working together to deal with continuously developing demands.


You will create and maintain excellent interpersonal skills and communication skills to ensure effective working relationships at all levels, internal and external to the Trust, including NHS and none NHS organisations across the national health community.

The working days are Monday to Friday. Flexibility is required to meet service and service user need. However, there may be a requirement for some evening hours in order to meet service demands.


The Leeds and York Partnership NHS Foundation Trust (LYPFT) is the main provider of Mental Health and Learning Disability services in Leeds.

We also provide specialist inpatient services in York and some highly specialised services across the country.

We are looking for:

  • A team player to work in a multidisciplinary team (MDT), who has proven administrative skills, able to implement, direct, monitor, and review systems and processes while delivering a high quality administrative support service to the MDT.
  • Someone who understands the importance of motivating a group of people to act towards a common goal.
  • A Selfmotivated person with excellent time management skills and able to achieve deadlines.
  • An excellent communicator, with proven organisational skills and the ability to work independently and accept direction from the Service manager.
  • Word processing skills to a high level, with demonstrable knowledge and experience of electronic systems i.e. EPR systems such as Care Director or similar
  • Someone who enjoys a varied role, with the ability to problem solve, negotiate and resolve issues as they arise.
  • You will need to be flexible to meet service requirements working as part of a clinical service support team.

PRINCIPLE DUTIES AND AREAS OF RESPONSIBILITY

  • First line management of a team of administrators providing direction, guidance, support and development.
  • This list is not exhaustive but will include word processing, audio typing, typing of correspondence, minutes, reports etc.
  • To provide a full diary management service to the designated members of the team as outlined in the Job Plan.
  • To provide support service briefings as required and follow up on agreed action points.
  • To maintain and develop office systems to support the effective flow of office information including developing and maintaining a comprehensive electronic filing and bring forward system.
  • To liaise with staff and stakeholders on all levels both internally and externally to the Trust.
Experience

  • A minimum of 2 years administrative experience at an advanced level.
  • Experience of delivering good customer service
  • Experience of working within a team
  • Experience of working using own initiative
  • Experience of arranging agendas and paperwork for Meetings and Senior Management Meetings.
  • Experience of producing reports, monthly statistics etc.
  • You will have experience of working with Organisational Financial Instructions (Desirable)
  • Experience of dealing with members of the general public
  • Experience of supervising people and managing workloads (Desirable)
  • Experience of working in a mental health setting
  • Demonstrate a positive attitude towards the implementation of new systems and new ways of working.
  • Shows empathy to the client group
  • Flexible approach to hours worked
