Responsible to:
Office Manager

Key Relationships:
Senior Leadership Team; Board of Trustees; Registered and Service Managers; Regulatory and Statutory Bodies.

Purpose of role:

In the role you will further develop and implement office procedures, ensuring processes and duties in the office flow efficiently and effectively and support the organisations compliance and regulatory requirements.

You will assist the HR/Office Manager to develop the organisations GDPR strategy, educating the organisation and employees on important compliance requirements

Location:
Head Office (North Tyneside). Travel to services may be required.

Key Criteria:

  • You will have prior office lead experience
  • You will have strong project management skills with a focus on process management
  • You will have experience of managing GDPR requirements
  • You will have a proven track record in contributing to continuous improvement across office functions
  • You will have strong IT skills and systems experience
  • You will have strong communication and influencing skills both verbal and written and be comfortable working in a fastpaced organisation that is continually evolving and striving to improve its service offering

Office Manager Job Duties:

  • Develop, organise and audit the organisation's systems, databases, and procedures
  • Support the management and monitoring of the training database and records, including online training
  • Administrative support for the Board and Senior Leadership Team.
  • Support the management and monitoring of safer recruitment and onboarding processes
  • Coordinate disciplinary / investigation / meetings and prepare minutes
  • Support HR/Office Manager with GDPR audit and oversight, to ensure compliance and address potential issues proactively
  • Maintaining comprehensive records of all data processing activities conducted by the organisation, including the purposes of all processing activities
  • Attend meetings as required and produce accurate minutes
  • Sickness absence recording
  • Support HR/Office Manager in Policy, procedure and documentation version control
  • Manage the asset register including IT / equipment repairs etc
  • Arranges travel and accommodation plans for Senior Leadership Team / Board when required
  • Record the customer complaints
  • Support HR/Office Manager in payroll procedures and process customer orders
