JOB PURPOSE


Mailing supervisors have a dual role which involves being a direct point of contact for all processes in relation to ad-hoc mailings as well as managing all aspects of the onsite postal operation.

The role requires a flexible individual capable of managing a variety of processes effectively and efficiently.

The Mailing Supervisor is required to:

  • Become a direct point of contact with clients to manage expectations in relation to a variety of mailings
  • Become a direct point of contact with team members to ensure mailing processes are completed as documented within the user guides and process flows (Inc approval of proofs)
  • Ensure that sufficient stock is ordered and received to support the completion of mailings once submitted by the client
  • Ensure that individuals working on any part of the mailing process are suitably trained and have sufficient knowledge to meet agreed process
  • Ensure all user / system guides are updated to reflect any required changes
  • As required, create user / system guides to ensure best practice is delivered by all staff members responsible for producing mailings
  • Ensure all user / system guides are reviewed on an annual basis with all staff involved in generating mailings
  • Understand the change request process and gain knowledge of how to complete effective impact assessments
  • Support Account manager/executive in client briefing meetings for adhoc mailing
  • Manage the postal team effectively, to ensure the wider team deliver to the required Service Levels (SLAs) and highquality standards
  • Ensure all team members are adequately trained across the service lines
  • Ensure all processes are followed correctly by their team ensuring that any process failures are reported and tracked through the centralised issues log
  • Regularly review processes, and identify that where risks exist, these are identified and mitigated
  • Be the escalation point for their team and clients for issues and enquiries
  • Support the Senior Team Leader in managing multiple teams and locations where appropriate

  • Able to use and share best practice learning with other sites and demonstrate the ability to coach and develop team members to spot and nurture talent in developing team to underpin succession planning
  • Ability to step up to Team Manager role when required

  • Ideally has some experience of managing onsite services and knowledge of the mailing processes
