Job overview

A new opportunity has arisen for an administrative assistant ideally with 2 years' relevant experience in a legal environment. You will work closely in a currently small team dealing with complex and interesting cases.

To be successful for this role you will present a professional image at all times to clients and collaborators, be well presented, confident and have first class communication skills and client care.

You will be hardworking and able to work within a team, from your own initiative and to tight deadlines.

The position is office based, full-time in Newark.

Activities will be varied and will include, but are not limited to the following:

  • Typing legal documents and correspondence
  • Producing billing guides and raising invoices
  • Use of the case management system (Proclaim)
  • Opening, maintaining and closing/archiving client files
  • Taking initial enquiries and recording details in specified format
  • Liaising with clients and contacts both on the phone and in person
  • Making travel arrangements and arranging appointments and conferences
  • Managing and maintaining diaries
  • Preparation of bundles and photocopying
  • General administrative support and offering support/assistance to other Legal Advisors and Department Head and Head of Office as and when required
  • Assisting with department processes

Experience Required:

  • Previous experience (ideally around 2 years) in a legal department.
  • Proven IT skills including Word, Outlook and Excel
  • Outstanding interpersonal and communication skills
  • Good written skills are essential with close attention to detail
  • High standard of organisation
  • Ability to use initiative
  • Previous use of Proclaim desirable but not essential
  • Previous experience of working in a litigation environment desirable but not essential
