The role is office based, from the company head office in Needham Market for 3 days (22.5 hours) per week.
Responsibilities include:
- Taking phone calls and resolving any customer issues arising with professionalism.
- Assist with quotation for Reactive work stream, including updating reactive spreadsheet and amending quotes/costings.
- Assist in the reactives process and follow instruction from the Reactives Contract Administrator.
- Keep accurate records and maintain necessary spreadsheets required for input into reactive work.
- Assist with mapping using Geospatial system for the reactive work stream.
- Query and investigate information available. Highlighting any anomalies and rectifying where necessary. In line with communication with the wider team and the Contract Administration Manager.
- Generate insights and recommendations on how bts internal systems can be improved.
- Identify areas to increase efficiency and automation of processes.
- Set up and maintain automated data processes and reports.
- Assist with the development of any new data capture or reporting requirements, liaising with internal and external clients to fully understand content and document business requirements.
- Work in progress (WIP) completing weekly invoicing; chasing payments from the previous week, frequently working a week in arrears to chase payments and keep the WIP up to date.
- Examine the larger WIP on a 2 weekly basis to ensure it is kept maintained.
- Collaboration with the bts accounts team to ensure invoices are correct and paid on time.
- Download and creation of quotes and purchase orders
- Be aware of opportunities for financial improvements.
- Supports the Contract Administration Manager and the department with administrative duties
- Build and maintain professional working relationships with both internal and external colleagues on the UKPN contract.
- Meets contract reporting guidelines and deadlines
- Maintain records according to legislative and Company specific guidelines.
- Meet company reporting guidelines and deadlines.
- Undertake all duties as required, in a professional and courteous manner, demonstrating best practice.
- Carry out additional and reasonable jobrelated tasks as requested by your manager, in line with the needs of the business.
Working closely and liaising with Bts Managers, Field Staff, LV Techs, SAP's UKPN Personnel and taking phone calls from customers.
- Word, Advanced excel or equivalent database experience.
- Office experience.
- Experience of handling large quantities of data and keeping accurate records.
