Role purpose:


The IP Administrator will work within our Case Admin team, and will be responsible for providing assistance with case management, recording events, sending out appropriate reminders and ensuring case record information is up-to-date, and that appropriate charges have been captured in the central billing system.


Principal responsibilities:

  • Monitor and coordinate a busy mailbox
  • Generate and check critical deadlines
  • Create workflows using a task management system within our paperless environment
  • Create new case records using an IP management system
  • Attend to the payment of official fees
  • Capture details of official fees, service charges and time charges, and generate invoices
  • Communicate with attorneys, clients, foreign associates and intellectual property offices in a timely manner and working to deadlines
  • Process information and communications received from associates and intellectual property offices, updating the data management system, ensuring deadlines are captured
  • Monitor upcoming deadlines using a reminder system and liaise with attorneys, clients, associates and intellectual property offices to ensure deadlines are met

Technical knowledge, professional qualifications and experience:

  • Experience in an IP environment
  • CIPA Patent Administrator Certificate preferred but not essential
  • Strong written and verbal communication skills
  • Good IT skills including MS Office and Outlook
  • Experience of a document management system and paperless environment
  • Experience of third party online services, e.g. EPO Online Filing 2.0 and Epoline
  • Experience of a data management system, preferably Inprotech
  • A motivated and proactive attitude
  • Excellent attention to detail
  • Ability to organise and prioritise workload
  • Ability to work under pressure and to tight deadlines
  • Ability to work independently and as part of a team
