PART TIME ADMINISTRATOR

Responsible to; Event Manager and Events Assistant Manager

Main Purpose of the Job


To support the Events Team in the preparation and planning of all events held on or around the pitch and on the Stadium site to ensure a safe environment for performers, staff and general public in accordance with the requirements of KSDL's Safety Policies and Procedures, the General Safety Certificate and any relevant and appropriate legislation in place at the time.


To support the Reception Team during periods of absence to provide a professional and welcoming environment for all visitors and guests attending the Stadium.


Key Duties and Responsibilities


1 Assist with the planning of all events taking place on or around the pitch and on the Stadium site, in particular: Car parking; ticketing; hospitality; catering; stewarding; medical cover; traffic management.


3 Manage the availability of matchday staff and advise the Events Team of the number of Agency staff required to fulfil the conditions of the General Safety Certificate.

4 Place orders with Agencies for the appropriate number of staff required to fulfil the General Safety Certificate.

5 Reconcile Agency staff numbers after every event to ensure accurate invoicing of agency staff.

6 Assist in the recruitment of matchday staff including arranging recruitment days; correspondence; offers of employment; contracts etc.

7 Maintain matchday personnel files and records.

8 Prepare Event Notification Forms for each event where an ambulance is required as part of the medical provision.

10 Collate statistical information on attendances.


11 From anticipated attendances, produce a Turnstile Sheet for every event where turnstiles are used for admission to the Ground.

12 Assist with the administration of arranging training courses for matchday staff and maintain training records. Prepare training schedules, presentations, handouts etc.


13 Provide administrative support to other members of the Senior Management Team, which may include the taking of Minutes of Meetings.

14 As and when required, provide Reception duty cover.

Knowledge, Experience and Skills

Knowledge - Microsoft Office Packages

Experience - Previous experience of a busy office environment where multi-tasking is the norm.
