Job Purpose

The post holder will provide a comprehensive and high quality administrative support service to the team. The post holder will assist in the organisation of the team's workload and manage clinic time-tables/rotas/diaries.

Main

Responsibilities:

OPERATIONAL

  • To demonstrate excellent customer care and communication skills in the provision of a front line service for the team, assisting clients, carers, GPs and other health and social care professionals
  • To maintain a detailed and accurate message recording system, taking appropriate action where necessary, and contacting members of the team as appropriate if messages require urgent / early attention.
  • Take initial responsibility for the local resolution of problems that may arise with staff/clients. To deal with complaints according to CLCH policy and procedures.
  • To be fully aware of confidentiality guidelines and exercise judgment and care when exchanging confidential and sensitive patient information
  • Recording of confidential and sensitive information in accordance with procedures, within negotiated time scales, and using a full range of IT packages.
  • Manage time and resources effectively with an ability to prioritise workload and be flexible in response to changing or urgent needs when required
  • Book clinics and appointments and manage cancellations or amendments in a timely manner
  • Maintain health records as required and according to local SOPs
  • Utilise relevant electronic patient record systems to enter and retrieve patient data ensuring all details are accurately recorded in a timely manner
  • Provide accurate confirmation of appointments to patients
  • Maintain the integrity of patient data on electronic patient records, including the creation and update of records
  • Work closely with relevant departments to ensure that notes are prepared and available and that necessary clinical information has been obtained in time for clinics, where appropriate
  • Type clinic letters including audio typing if appropriate, reports, correspondence and other documents within agreed time scales and to agreed standards.
  • Undertake photocopying, faxing, scanning of confidential and nonconfidential information.
  • Work with telephonic equipment and computer software used to support the TV team
  • Participate in TV team meetings, including typing and distributing minutes
  • Undertake audits and surveys as requested
  • Support with rota monitoring to ensure that clinical capacity is fully utilised
  • Support the ordering, monitoring and maintenance of stationery
