Job Description:

  • ROLE OVERVIEW
Key Responsibilities

  • Management and coordination of a number of diaries across multiple timezones.
  • Liaise with Reception to arrange meeting rooms and hospitality as required.
  • Coordinate frequent and often last minute travel and accommodation requirements.
  • Produce visa documentation when required.
  • Arrange and prepare for meetings and conferences, including editing powerpoint resentations, detailed agendas and IT set up as required.
  • Compile and submit expense reports each month in line with company policy.
  • Draft and coordinate correspondence, meeting agendas, minutes of meetings, presentation material etc.
  • Responsible for the onboarding of new joiners into the team
  • Heavily involved in the planning and organization of team events and conferences
  • Processing of legal documents in line with company policy.
  • Processing invoices and maintaining up to date tracking file.
  • Support to visitors from overseas offices.
  • Sort post and deal with routine enquiries and confidential correspondence.
  • Keeping archive and document registers up to date. Arranging filing where necessary.
  • Maintaining key contacts files, ensuring they are up to date and accurate at all times.
  • Keeping confidential files for all team members in line with GDPR.
  • Provide support to other EA's and admin staff in quiet times, absence and holidays etc.
  • Any other ad hoc duties as requested by the team.
Technical Skills

  • Excellent organization and communication skills.
  • Proficient knowledge of Microsoft Outlook, Word and PowerPoint
  • Previous experience using Concur would be desirable but not essential.
  • Proactive and able to work on own initiative as well as part of a team.
  • Decisive, resourceful and quick to prioritize.
  • High attention to detail.
  • Flexible and adaptable.
