The purpose of the role is to support General Practitioners in their day-to-day management of patients, by reducing administrative burden and contributing to the smooth running of the patient experience.

The role is intended to free up GP time and therefore improve efficiency and patient access to care.


We are looking for an effective and well-organised administrator to join our back-office admin team, who can demonstrate excellent initiative and problem-solving skills.


The person appointed will have prior experience of working in a multi-disciplinary environment within primary care and of using a variety of clinical and IT systems.

This role could be full-time or part-time (minimum 30 hours, four days a week) by mutual agreement.

  • Extract information from clinical letters that needs coding and file documents appropriately (Docman 10).
  • Arrange referrals, tests and follow up appointments for patients. Contact a range of providers on behalf of the GP to check the status of a patients referral and chase up appointment details.
  • Use the eRS system to make secondary care referrals at the request of the GP. Maintain the practices eRS worklist and resolve issues. Advise GPs once advice and guidance responses are received and copy these into the patients notes. Make referrals outside of the eRS system at the request of the clinical team e.g. to district nurses.
  • File incoming laboratory results and vaccine notifications to the patients record and take the appropriate action (Emis Web).
  • Review repeat prescription requests from patients and allocate these to the GP appropriately, ensuring they are processed accurately and efficiently. Support patients with the repeat medications process and troubleshoot related enquires. Liaise with local pharmacies as required.
  • Help the GPs liaise with outside agencies e.g. getting an on call hospital doctor on the phone to seek advice or arrange admission, so that the GP can continue with their consultation(s).
  • Support the reception team by picking up complex patient enquiries which require time and a dedicated approach, so that the main surgery phone line remains accessible for urgent patient enquiries.
  • Review e-consult enquiries from patients to ascertain whether a response can be provided on behalf of the GP e.g. through the provision of relevant information, booking an appointment, re-allocating the query to another member of the multi-disciplinary team e.g. social prescriber, physiotherapist, pharmacist etc.
  • Complete basic (non-opinion) forms and core elements of some forms for the GP to approve and sign, such as insurance/benefits agency/DVLA forms etc. Produce basic letters of fact for patients e.g. proof of address.
  • Chase up clinic letters and documentation from external stakeholders, using the Local Care Record where relevant, and developing a network of local health and social care contacts.
  • Prepare patients prior to going in to see the GP, taking a brief history and basic readings in readiness for the GP appointment.
  • Dip urine, take blood pressure.
  • Support all clinical staff with general administrative tasks as requested.
  • Partake in audit as directed by the audit lead / practice manager.
  • Coordinate and produce meeting agendas and record the minutes of meetings.
  • Identify and provide team training where required, e.g. training reception staff to sign post patients to relevant services / staff groups.
  • Work under the supervision of a doctor as part of a medical team.
  • Provide varied support to patients and show flexibility in your role.
  • Undertake any other duties appropriate to the grade and purpose of the job.

Qualifications

  • GCSE Maths and English (C grade or above) or equivalent
  • Evidence of continued professional development
  • Diploma Level 2 in Health and Social Care or equivalent qualification (desirable)
