Role Summary


To synchronise and facilitate the flow of required materials from the designated suppliers and into the company's departments and project teams.

Communication with external and internal customers also to include liaising with management to establish work progress.

To oversee activities related to receiving and dispatching shipments along with confirming accuracy of orders.

To generate reports on work progress, completion dates, production challenges, stock levels and costs and to monitor aspects of processes such as purchasing, cost management and order changing, and forward issues to management.


Key Accountabilities

  • Establishing professional relationships with different stakeholders, both internal and external.
  • Collaborating with project management in preparation for project review meetings.
  • Receiving materials and liaising with staff to verify accuracy, quality, and specifications.
  • Facilitate the flow of materials among different departments and parties
  • Examining job cost reports to find inconsistencies such as mischarges.
  • Collaborating with management to evaluate the reliability of vendors and suppliers, and to find solutions to ongoing problems.
  • Performing clerical duties and maintaining accurate records and files about activities.
  • Following established guidelines, policies, procedures, and instructions.
  • Assuring timely processing and distributing all material, supplies, equipment, and equipment that are received for departmental or project purposes.
  • Inspecting shipments records any damage or defects and notifies the supervisor and/or purchasing staff.
  • Liaising with the different departments and initiating paperwork for purchasing additional quantities as necessary.
  • Monitoring the expedient receiving of all incoming materials, supplies, and equipment. to verify shipment accuracy, compare information on the packing slip and purchase order.
  • Preparing purchasing paperwork, such as requisitions. Also reconciles invoices and purchase orders to prepare for payment processing.
  • Corresponding with suppliers to obtain quotations. Keeps in touch with vendors about the status of current purchase orders.
  • Transporting materials, supplies, and equipment from the receiving location to the job site using hand trucks, push, roll, or carry.

Tools and Processes

  • Liaise with Stores to ensure Goods Receipts are carried out within IFS System (particularly in relation to services being completed).
  • Check invoices for accuracy, and authorise where necessary the Accounts Payable department to issue payment via ONBASE System.
  • Determine Inventory items to be purchased in IFS.

What we are looking for:

Intermediate IT literacy and Microsoft office/excel skills are essential.

Salary:
Up to £29,000.00 per year
