Dental Records Clerk

We are excited to be able to offer two fixed term vacancies in our Dental Records Department, we have one 12 month fixed term vacancy and one 6 month fixed term vacancy.

The post holder will be responsible for providing an efficient and professional service to clinical and non-clinical staff.

This involves ensuring all documents are provided in the folders, notes are prepped and ready to be taken up to the clinical floors, and if any documents are not available the relevant team are informed without causing any delay.

Furthermore, to ensure clinical notes are stripped and only the appropriate documents are scanned, the notes are scanned carefully making sure it is clearly visible for clinical and non-clinical staff, and lastly ensuring we are meeting our scanning targets and there is no backlog.

The Dental Records team is diverse and hard working, with friendly personalities.

The team requires a motivated individual who requires low supervision, is able to work independently and can be trusted to meet deadlines.

The role will allow you to learn lots of new skills and it is a fantastic insight into how the clinics run, this will allow for progression into more administration roles in the future.


  • Ensure that all patient notes and diagnostic information are updated and prepared prior to individual appointments.
  • Scan clinical notes onto the system with due care and attention.
  • Strip notes brought down from clinic to ensure only necessary documents are scanned, and also to dispose of any other sheets into the confidential waste.
  • Work closely with the clinical team to identify mechanisms to improve service delivery and ensure that an optimum service is provided at all times.
  • Assist in the collation of patient activity data/quality information, relating to the Trust's business processes and audit procedures.
  • Rotate cross site to gain working knowledge and skills to help cover absences as required by department.
  • Demonstrate own administrative duties to new or less experienced team members.
  • Assist team members with any additional administrative duties commensurate with the grade as and when required to ensure the smooth running of the department.
  • Keep working area tidy and to monitor environment, reporting any concerns to the appropriate body.
