Administration and Communications Assistant

Hours of work: 20 hours to be worked within core hours of 9:30am -2:30pm. (Mon-Thurs only)
Salary:
£10.50 per hour
Contract:
Temporary 6 months, with opportunity for permanent employment thereafter.
The Charity
The WI is a unique charitable organisation shaped by its 220,000 members.
It is the largest women's organisation in the UK and plays a unique role in providing women with educational opportunities, the chance to build new skills, to take part in a wide variety of activities and to campaign on issues that matter to them and their communities.
Main purpose of the job
The job entails two important roles for the Federation:
The customer service role is the crucial first point of contact for WI members and staff, including; volunteers, WI advisers, trustees and members of the public.
As well as being the welcoming 'face and voice' of the WI, this role will provide IT support to members and support our web editor.
Key Relationships
These will include, but not be limited to:
- Members of the Federation office, Federation Secretary and other administrative staff
- Board Officers, Chair and Treasurer, Board members
- WI Advisers, members and volunteers
- Visitors to WI House
Key Job Responsibilities
Customer Service
- Provide a professional and friendly 'front of house' environment and service.
- Answer telephone calls and ensure enquiries are dealt with efficiently and professionally, including taking of accurate messages and relaying these as appropriate.
- Receive general deliveries at WI House, check against invoices/ purchase orders and dealing with any queries.
Administration
- Produce documents to a high standard of presentation using Microsoft Office, including letters, reports, forms, spreadsheets and guidance notes.
- Assist with mailouts
- Update the Membership Communication System (MCS) with any WI changes and report to the Secretary.
- Process purchase orders and invoices, and cashing up at the end of the day.
- Update monthly magazine posting spreadsheet with any amendments such as contact details or changes to orders.
- Send WI welcome packs to new members electronically and by post
- Input WI calendar and diary orders and pack for collection / post
- Support Speaker Team as required in relation to liaising with new speakers and produce mail merged speaker list quarterly and annually.
Communication
- Support Web Editor and update website as necessary.
- Support Magazine Editor with monthly planning and copy.
- Update social media as needed.
