An exciting role has arisen within our Facilities Team on site in
Aberdeen for a
Lead Receptionist. This is a permanent position reporting to the Base & Facilities Manager. The role is responsible for ensuring that the reception facility runs smoothly and efficiently for the Aberdeen office. The role is also responsible or the management, training, development and performance of the reception and administration team. Main duties and responsibilities will include;
- Responsible for ensuring reception is manned at all times, including during periods of absence, breaks and lunches.
- Line management of the team and ensuring that resources are in place and planned accordingly
- Ensuring discretion and confidentiality at all times.
- Ensure all Receptionists are fully trained on all aspects of the role.
- Manage and facilitate a room booking system for internal parties and external partners.
- Order catering and arrange refreshments for meetings ensuring that all requirements are met first time.
- Responsible for ensuring that visitor spaces in the car park are used by visitors and clients only, reporting any unauthorised car parking to the Facilities Department.
- Prepare all DHL and FedEx mail.
- Responsible for creating and distributing the weekly on call rota.
You are?
You will have previous experience in a similar role and knowledge of all Microsoft packages. An administrative qualification is preferred but not essential. You will have excellent communication and organisational skills, and a friendly and approachable manner.
