Personal Assistant

What are we looking for?


We are looking for a Personal Assistant to join us for around 7 hours a week on a fixed term contract, running until end of March.

We can work together on what shift pattern works best for you, however we will need some avaliability each day.

This is a great opportunity to work around other employment or Uni hours. So if you are organised, pro active and used to coordinating multiple diaries, this could be perfect for you.


This is a remote working role however we will need some flexibility for you to travel to our Case House office in Walton-on-Thames as and when needed.


Some of the key tasks and responsibilities include:

  • You will be supporting and organising diaries, scheduling meetings and allowing sufficient time for planning and preparation, and attending/minuting meetings as necessary. Ensuring that all relevant papers are available for the scheduled meetings, and that files are kept up to date and are filed logically
  • Schedule Management Team meetings, preparing papers and agendas, attending and minuting the meetings as necessary
  • Administer the Board/Committee meetings diary and report to the Management Team as necessary. Prepare Board/Committee agendas, organise reports and ensure compliance with deadlines. To attend Board/Committee meetings and compose minutes
  • Undertake specific projects and events for the Chief Executive, preparing reports etc as necessary
  • Arrange accommodation and travel as necessary
  • Undertake general secretarial duties including composing any correspondence when needed
  • Design and maintain systems and procedures necessary to organise workload and maintain confidentiality
  • Coordinate multiple diaries, under multiple organisations

To be successful in this role, we'd be looking for the following

  • Strong diary management and coordination skills
  • Eexperience working for a Director or Chief Executive and fulfilling a similar role
  • Ability to take accurate minutes to Board level
  • A methodical and logical approach to work
  • Ability to maintain confidentiality
