An exciting opportunity has arisen for a highly motivated person to work within the Community Stroke Team as the Administrative Coordinator.
The Community Stroke Team is based at Bensham Hospital. We are a small friendly team.The successful applicant will play a key role in co-ordination and planning with a focus on handling patient telephone calls and using IT systems and maintaining databases.
The post holder will have the ability to use their initiative, be able to prioritise their own workload and communicate in an effective and sensitive manner.
The role will be part time, 30 hours, Monday to Friday, times can be negotiated.The main duties of the role are as follows:
To provide comprehensive secretarial, administrative and clerical support to the team
To contribute to the smooth running of the Community Stroke Team
To liaise with multiple stakeholders in order to ensure that the day to day co-ordination and administrative support is delivered in a timely and professional manner
To provide an efficient, friendly, service to all staff, patients and visitors handling enquiries promptly and providing first line assistance
To maintain up to date data collection records for the team, including SSNAP (National Stroke Database).
To adhere to current Trust policies and procedures
Based in the North East of England we provide a range of hospital and community health services from our leading facilities, including the Queen Elizabeth Hospital, Blaydon urgent care centre and Bensham Hospital, all within Gateshead.

This post is an Administrative Assistant reporting to the Team Lead in the Community Stroke Team. The post will be based in the team office, which is currently based at Bensham General Hospital.
The team consists of a Team Lead and registered clinical staff of varying bands.
This post will provide administrative support to the whole team including:
To set up and maintain efficient and effective filing systems using a variety of IT systems
Ensure accurate and effective records are kept
To provide administrative support to the team members
To check for and register new referrals.
To maintain up to date records for data collections, including maintaining the Community Stroke Team SSNAP records and databases.
To schedule appointments and room bookings
To support the management team in the preparation of reports.
To handle confidential, sensitive or contentious information appropriately, liaising with Management/staff/other Departments where necessary
Attend and arrange meetings, prepare agendas, compile and issue papers, take minutes and maintain action logs/spreadsheets/databases as required
To order office supplies and clinical supplies
To schedule training, arrange room bookings, liase with Learning and Development, print handouts, attendance sheets etc as required
Demonstrates administrative, clerical duties to new starters, less experienced staff
May supervise other staff
Dealing sensitively with first line enquiries from patients, relatives, carers, staff and external agencies
To identify risks within the working area using initiative to take the necessary action e.g. Lifting and Handling
To observe standards of patient confidentiality.
To participate in GHNFT Appraisal System
To maintain personal professional competency and appropriate development.
To carry out the duties and responsibilities of the post in accordance with Trust policies.
