OPAC Administration are recruiting an enthusiastic and motivated Site Support Administrator to support the Older Peoples & Adult Community Services at their two Peterborough sites of City Care Centre & Botolph Bridge.

The roles working hours are Monday - Friday, working pattern to be discussed at interview.

The post holder will be providing site administration support to the older peoples & adult community service's clinicians of varying professions, working in a team of 8 Administrators covering out community base sits across Cambridgeshire & Peterborough.


The main principle of the Administration service is to ensure the provision of a professional & competent service to enable our clinical colleagues to concentrate on patient care.

We aim to do so by ensuring professional leadership, excellent training & development opportunities for admin staff & standardised processes.

We are looking for someone who is self-motivated & works well within a team, whilst being able to work independently.


  • Weekly Stores/Dressings and pathology Orders for DNs
  • Patient Specialist Orders
  • Order Stationary
  • Ordering of Toners & Ink - Printer
  • Ordering Non Cat/Stock Items
  • Ordering adhoc items i.e. Desk Risers/Secure document bags/headsets
  • Ordering VAC dressings / Tena
  • Archiving
  • Buffer Stock - checking / turning on monthly to keep on server
  • Printed resources to be made available within the teams, i.e. yellow folders, leaflets etc.
  • Asset Management Register Maintenance
  • Arrange for Clinical Engineering to visit hub/base
  • Arrange for equipment to be sent to Clinical engineering for repair, maintenance and asset registration
  • PPE Stock levels and audit (not all sites)
  • Fridge Temperatures (not all sites)

The Cambridgeshire & Peterborough Foundation Trust, Older People & Adult Community Administration Services have four Admin Hubs based in Cambourne Cambridge, Hinchingbrooke Business Park Huntingdon, Hampton Peterborough, and Doddington Fenland.


The Administration Services providing administrative, business & project support to the OPAC clinical services of District Nursing, out of hours District Nursing, Community Rehabilitation (Physiotherapy & Occupational Therapy), Mental Health, Diabetes, Podiatry, Respiratory, Neuro Rehab/ESD, Neuro Conditions, Nutrition & Dietetics, Speech & Language Therapy, Tissue Viability, Continence, Heart & Cardiac & Post-Covid.


The main principle of the Admin Hubs is to ensure the provision of a professional and competent service, as well as offering excellent customer care to patients, their families, and colleagues.

We aim to do so by ensuring professional leadership, excellent training, development opportunities for admin staff, standardisation & streamlined working.

  • Word processing of all forms of correspondence, reports and summaries that are required by the team.
  • Answer all telephone calls within the defined timeframe.
  • To use effective telephone techniques to healthcare professionals, patients and other agencies in a quick and efficient manner.
  • Record information in the chosen software timely and accurately.
  • Manage all calls in a controlled and professional manner.
  • Any data that is taken/shared as part of a phone call or transferred electronically must be undertaken regarding the Trust Information Governance and Information Security policies.
  • Undertake diary management for clinicians and/or managers, as required.
  • Organise clinics and associated appointments for clinics, using appropriate systems to manage work.
  • Organise team meetings, take, transcribe, and distribute minutes accordingly as required.
  • Deal with staff and service user requests that may be part of a cash office function as and when required, and in accordance with Trust procedures.
  • Inputting and updating service user information and service user/team activity on computerised information systems, creating service user notes where necessary and according to policy.
  • Maintain filing in both paper and electronic records, ensuring that it is kept up to date at all times. In accordance with Trust procedures, track and receive notes in a timely manner.
