Overview
This administrative role is split over 21 hours, 14 supporting 2 of our counties working for their county commissioners and 7 supporting the region team.
The role works closely with an experienced and passionate team of volunteers and is managed and supported by a professional and skilled staff team. As part of the membership support team, you will help ensure our members have the opportunities and support needed to enable them to offer inspiring guiding to girls and young women across Anglia.

Purpose of the role
In a volunteer lead organisation, you role will partly include working remotely for 2 of our counties (Bedfordshire and Oxfordshire) from within the Girlguiding Anglia membership experience team in the region office.
The remaining part of your role will be based on membership support administration for the region. This can include event administration, responding to member enquiries, database management, or extracting data from our membership database.Main areas of responsibility
- Administration and occasional event support. This may include updating the region's website and using relevant booking software such as Eventbrite.
- Plan, deliver, and evaluate meetings and training sessions as needed.
- Draft organisation papers and documents.
- Maintain and review business process systems when relevant to the role.
- Access and maintain the accuracy of relevant records within the Girlguiding membership customer relationship system (GO CRM).
- Work collaboratively with internal and external teams to ensure appropriate communication and promotion of member opportunities.
- Liaise with the region finance team in managing allocated budgets.
- When relevant, work with Girlguiding's national and other regional teams to provide key insight and member feedback on relevant projects.
- Support volunteer compliance and safeguarding obligations. Communicating data and insight to relevant audiences.
- Maintain networks with key county and region volunteers, staff teams and other regional peers.
- Administration support for externally funded projects.
- This role may require some travel across the Girlguiding Anglia region. The ability to drive and access to a car would be an advantage but not essential.
- Attend regular team meetings either virtually or in person, as part of the team allowing for crossteam collaboration and support
- Be flexible to work occasional evenings and weekends to ensure the successful delivery of key projects. Time off in lieu will be given for any additional hours worked outside the agreed standard working pattern.
- It is expected that the job holder will comply with all aspects of data protection regulations and cyber security.
- To conduct all activities in a manner which promotes and enhances the image and reputation of Girlguiding Anglia.
- Work confidently as part of a team which includes both staff and volunteers, building and maintaining positive and professional relationships.
- Be selfmotivated and able to keep yourself to account within project timelines.
- Be able to manage a varied and diverse workload.
- Must be confident in the use of general IT packages and willing to learn new digital skills as the role requires.
- Have communication skills that can be tailored to varying audiences in line with the Girlguiding branding guidelines.
- Have good attention to detail in finished work.
- Experience in volunteering, working with volunteers or in a membership organisation would be advantageous for this role but not essential.
- Ability to work within the _Girlguiding values_; empowering, fun, caring, inclusive, challenging, and inspiring.
This is a permanent contract.
Location
Salary
Grade A (£20,821 to £22,900 pro rata from 35 hours depending on experience and qualifications)
Working Hours
This is a part-time role of 21 hours per week (from a full-time equivalent of 35 hours).
Core working hours are Monday to Friday 8 am till 5 pm and your standard working pattern within these can be discussed at the interview.
Due to the nature of working with volunteers occasional work on evenings and weekends may be required. Time off in lieu will be given.Probationary Period
Holiday Entitlement
25 days per annum plus bank holidays pro-rated with the addition of 1 extra day per year worked (January to December) up to a maximum of 5 additional days.
