We are looking for an enthusiastic Medical Secretary, keen to become part of our friendly family practice located in Tamworth.


We are seeking an experienced, committed medical secretary who will share our patient focused approach, working alongside the other members of the team.


Job Summary
Deliver a full secretarial service to the clinical staff and provide assistance to the Practice Management.

Teamwork
All employees are expected to display a high standard of teamwork. This includes co-operating in undertaking the work of absent colleagues or assisting others where the workload is particularly high. There may, therefore, be a requirement, from time to time, to undertake other duties.

Responsibilities:

  • Ensure an effective and efficient secretarial service is provided to clinicians.
  • Refer patients as appropriate via relevant pathway.
  • Process and support the electronic 2 week wait cancer referrals.
  • Ensure that all correspondence leaving the surgery is grammatically correct and spell checked.
  • Use clinical system to process tasks received from clinicians or external sources.
  • Scanning in documents required for referrals.
  • Receive and make telephone calls as required. Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery.
  • Dealing with the day to day running of the computer systems and entering patient information onto the computer as required.
  • Attend and participate in practice and staff meetings as appropriate.
  • Maintain effective liaison with other agencies and staff concerned with patient care and with other disciplines within the practice, with appropriate regard to confidentiality.
  • Participate in any training programme implemented by the practice as part of this employment.
  • Contribute to the effectiveness of the team by reflecting on own and team activities and making suggestions on ways to improve and enhance the team's performance.
  • Undertake any other additional duties appropriate to the post as requested by the Partners or the practice management.

  • In the course of seeking treatment, patients entrust us with, or allow us to gather, sensitive information in relation to their health and other matters. They do so in confidence and have the right to expect that staff will respect their privacy and act appropriately
  • In the performance of the duties outlined in this job description, the postholder may have access to confidential information relating to patients and their carers, practice staff and other healthcare workers. They may also have access to information relating to the practice as a business organisation. All such information from any source is to be regarded as strictly confidential
  • Information relating to patients, carers, colleagues, other healthcare workers or the business of the practice may only be divulged to authorised persons in accordance with the practice policies and procedures relating to confidentiality and the protection of personal and sensitive data.

HEALTH & SAFETY

  • Comply with Practice health and safety policies by following agreed safe working procedures
  • Actively reporting of health and safety hazards and infection hazards immediately when recognised
  • Keeping work and general areas clean and tidy.
  • Making effective use of training to update knowledge and skills

Essential Skills:

  • Previous medical secretarial experience (hospital or GP surgery preferred)
  • EMIS (System One will be considered as transferable skill)
  • Strong communication and computer skills

Tuesday 8.30am - 4.30pm

Thursday 8.30am - 4.30pm

Friday 8.30am - 4.30pm

Flexibility to assist with additional hours to cover holiday/sickness would be desirable.

Salary dependent on experience.
