JOB PURPOSE:


To ensure the service provided by the Workplace Co-ordinator Team and Agile Working Co-ordinators is delivered to a continuously high standard and that the requirements of the Client and Customers are met in professional and timely manner and in line with the scope of contract.


Responsible for the management of the Workplace Co-ordinator Team and Agile Working Co-ordinators to ensure a 5* Customer experience for all customers, staff, visitors and VIPs.


MAIN DUTIES:

  • Responsible for leading and delivering FM Services in line with the contractual requirements, ensuring that KPI's are adhered to
  • Responsible for the delivery of Workplace services across the buildings within the complex
  • Ensure that any Client/Customer requests/complaints are dealt with professionally and promptly
  • Ensure that team meetings are coordinated as and when required
  • Lead, coach, guide and develop the team to ensure all are working to deliver an exceptional service throughout their allocated spaces
  • Ensure sufficient internal/external training is provided where required including Toolbox Talks and Safety briefings
  • Ensure that work orders and requests are raised in the correct way, carried out and checks made upon completion to ensure standards are met
  • Give feedback on performance in relation to tasks undertaken, as well as at performance reviews
  • Develop best practice for FM services on site to drive services and quality improvements
  • Carry out regular quality checks and site audits e.g. KPI, QHSE etc
  • Ensure that anything QSHE related is dealt with within the required timeframes
  • Ensure the site meets statutory compliance regulations within your service line
  • Own and assist in variety of projects received from the business
  • Ensure all project work is completed within the required timescales
  • Liaise with the small works team on revenue and capital projects
  • Coordinate and implement all equipment and premises related moves for the site as required by the Client
  • Responsible for managing and reporting on budgets and resources as required by Senior Management
  • Participate in weekly PO calls and anything finance related as required for reporting
  • Responsible for the supervision of subcontracted services such as pest control, water coolers and landscaping
  • Be aware of the business continuity plan for the part of the business you work in
  • Support the Soft Services Manager whenever required and cover in their absence
PERSON SPECIFICATION (Experience/Qualifications/Skills)

  • Proven ability and experience essential of leading and managing a large (minimum 10) multiskilled team in the support of Facilities Management, Service Delivery and management of operational incidents.
  • Minimum of 3 years Senior Supervisor or Manager experience within the FM industry.
  • Excellent customer service skills with the ability to interact confidently and professionally with colleagues, clients, visitors including VIPs
  • Proactive and forwardthinking approach to work, demonstrating adaptability and flexible working
  • Strongly selfmotivated individual possessing a cando attitude and a drive to learn and share best practices
  • The ability to manage customer satisfaction and continuously review and improve all aspects of the operation and quality of service delivery
  • Experience of budget management and control of small revenue works
  • Experience of project management dealing with subcontractors and supply chain within a complex multifaceted operation
  • The ability to introduce change through a structured approach
  • Team management skills including communication, motivation, prioritisation, planning and coaching/training
  • Business continuity and incident management experience
  • Knowledge of Health & Safety regulations (IOSH desirable)
  • Proven communication and influencing skills with the ability to gain acceptance at all levels of management and external suppliers
