Main Duties and Responsibilities:

  • To adhere to the PSL Agency Tiering Process and ensure that the usage of red agencies is warranted to reduce the overall agency spend.
  • To follow the flexi booking process and provide agencies with shift reference numbers for all bookings.
  • Accurately input and update data on the inhouse booking system to reflect changes in agency staff bookings i.e.; name changes, cancellations and recording lateness.
  • Liaise with agencies in order to fill all shift requirements on a daily/weekly basis within agreed timeframes.
  • Send out booking logs to services to confirm covered shifts.
  • Keep services up to date regarding their agency staff bookings and ensure any queries are dealt with in a timely and efficient manner
  • Prompt Managers to meet weekly deadlines and provide shifts in a timely manner to ensure the availability of agency staff.
  • To liaise with the Flexi Recruitment Coordinators to understand the full scope of the care provision and specific training requirements so that agency staff are well matched.
  • Ensure that the consistency of agency staff is sustained to ensure the wellbeing of our service users.
  • Monitor and assist the Flexi Recruitment Manager/ Admin and Compliance Officer in the auditing of Agency Staff Profiles ensuring that compliance is met and training certificates/DBS are recorded and in date.
  • Ensure incidents and complaints are investigated, documented and followed up in a timely manner.
  • To attend team meetings and share achievements, challenges and plans to continually improve the service delivery.
  • Provide a first class inhouse service, driving customer satisfaction and provide innovative solutions.
  • Liaise with services and agencies in relation to time sheet, breaks or queries relating to shift times.
  • To communicate and escalate to the Flexi Recruitment Manager or to the Admin and Compliance Officer (in the absence of the Manager) any issues or changes which may have a detrimental effect on our services.
  • To ensure that all homes are issued with accurate, compliant Agency Staff Profiles.
  • Work closely with the Flexi Recruitment Coordinators to ensure a comprehensive hand over is provided at key handover times in line with the rota.
  • To undertake any other administrative duties as appropriate to the post or as directed by the Admin and Compliance Officer.
  • To undertake training as and when required.
  • To work to individual weekly targets i.e.; unfilled shifts vs filled, reducing use of red PSL Agencies.
  • Responsible for own Health & Safety and ensure a safe working environment for colleagues.
  • To attend supervision meetings with your Manager/ Admin and Compliance
  • Officer and to participate in the organisations staff appraisal system
  • To maintain confidentiality and adhere to GDPR guidelines at all times
  • Excellent communication skills
  • Good computer and data entry skills
  • Enthusiasm, drive and be selfmotivated
  • Be able to multitask, work under pressure to meet tight deadlines
  • Excellent organisational skills with attention to detail.
  • Must be flexible and able to work unsociable hours, weekends and bank holidays including Christmas.
