The main purpose of the role is to work with the School Aged Immunisation Service in promoting good health to children and young people in a variety of settings.

You will provide administrative support to the School Aged Immunisation Service.

During the Flu season, the post holder will be trained to administer the intra-nasal flu vaccine in schools across Oxfordshire and under the supervision of SAIS Community Vaccinators, the post holder will participate in school based immunisations sessions across Oxfordshire in schools and community venues.

What you will be responsible for

  • Participate in the organisation and delivery of the schoolbased immunisation programme for primary and secondary aged children and young people including attending school sessions and providing admin support.
  • Following training and competency assessment manage cold chain under supervision including checking fridge temperatures and packing up of vaccines and transporting to schools/community venues.
  • Ensuring that valid consent is received from those young people without consent forms including taking verbal consents.
  • General administrative and clerical duties:
  • Managing telephone calls some of which may be of a confidential or sensitive nature, from schools, parents, health professionals and other agencies.
  • Recording and relaying messages.
  • Providing nonclinical information and sign posting.
  • General IT work (file management, word processing, spreadsheets, desktop publishing, supporting staff with clinical recording systems)
  • Filing (mostly electronic and but some paper filing)
  • Office systems organisation
  • Preparation and typing of correspondence
  • Photocopying and compiling Communication packs for immunisation sessions
  • Compiling, updating and circulating lists of team personnel and local schools
  • Maintaining staff rotas
  • Booking and arranging Community Immunisation clinics as required by members of the Immunisation Team
  • Following direction from line manager plan, manage and prioritise own workload and work independently keeping a daily diary of working hours and travel.
  • Assist the Immunisation Team in the upkeep of electronic and paper records and information both in the office and in schools.
  • Assist with immunisation sessions at schools and colleges including booking sessions, clerical preparation, recording of information and compilation and submission of statistical returns.
  • Attend and participate in Immunisation Team meetings. Take, review, produce and circulate minutes of meetings.
  • Order goods and maintain stock control of office supplies, health promotion materials and immunisation supplies.
  • Check suppliers' invoices and paperwork and maintain records according to the Trust's systems and processes.
  • Assist with the administration of the Accountability Framework.
  • Prepare and organise Newsletters/bulletins and other Immunisation campaign materials discussed with the Immunisation Team (including internet searches and use of desktop publishing).
  • Assist with Immunisation Health Promotion by preparing materials and attending events.
  • Have an awareness of Safeguarding issues.
  • Participate in training programmes and personal development appropriate to the post as identified in the appraisal process.
