To effectively coordinate and manage the rota for the health care assistants ensuring clinics are staffed with the correct skill set and training requirements.

The smooth completion of such activities will ensure the team are able assist with the clinic effectively and there are no delays in our clinic.


Ensure clinical preparation is carried out including ensuring adequate stock is prepared for the clinics and correct paperwork available to avoid any potential delays or re booking of patients.

Coordinate a regular team meeting with management of an agenda and actions.

Any other admin duties associated with the health care assistant team which may from time to time be required.

Main Duties and Responsibilities:

  • To work closely with the Operations manager to ensure there are no cancellations or delays in clinics.
  • Plan and manage the rota for the HCA team with the skilled personnel ensuring continuity of service.
  • Ensure rotas are created and effectively communicated to key stakeholders and the team 1 month in advance.
  • Deal and manage effectively any adhoc queries regarding the rota from internal and external stakeholders.
  • Deal and manage effectively any last minute or unexpected amendments to the scheduled rota to ensure absence/sickness or activity level changes do not impact on continuity of service.
  • Escalate immediately when no cover for a clinic can be found to the management team.
Effectively coordinate the associated equipment that is required to fulfil clinics, ensuring all equipment is accessible and readily

Person Specification:

Essentials

  • Basic Knowledge of Microsoft packages including Excel.
  • Previous experience of A role that has required ownership of tasks and meeting deadlines.


Skills
  • Rota Scheduling, Administration, Strong Organisational and Communication skills
Desirable

  • Some experience of managing a rota.
  • Experience within Healthcare setting.

Expectations


Your training will involve a corporate induction on your first day and then shadowing an experienced team member, which will provide you with the skills and knowledge to be successful in the role.
