Key Details:

Role Overview:


This role will see you work closely with three senior executives, with scope to support a broader team of 11 investment professionals as Team Assistant.

You must be comfortable juggling conflicting priorities and remaining nimble to the needs of your executives and the office in real-time, whilst also being based front-of-house, and therefore engaging with clients and visitors.

The ideal candidate will have a minimum of - 5 years experience as a Team or Administrative Assistant/Receptionist with exposure to managing multiple calendars and priorities and working in a client-facing role.

You must demonstrate a high level of initiative and drive, and enjoy working as part of a team to deliver business results and maintain a proactive mindset.


Responsibilities:

nDiary and calendar management for 3 senior executives including scheduling meetings.nTravel coordination including itineraries and travel packs.nExpense management for the team.nOverseeing front-of-house duties including meeting/greeting guests, and answering the phone.nMaintaining office supplies, and replenishing stock, stationary and kitchen supplies.nGeneral document management, including printing, filing, and binding, and maintaining electronic records.nLiaising with external stakeholders and assisting with ad hoc projects when required.nAny other administrative task to support the efficiency of the team and the smooth running of the office.


Candidate Requirements:

nMinimum - 5 years experience as a Team or Administrative Assistant within an alternative investment firm, or fast-paced, corporate setting.nCalm, measured in disposition, and able to manage changing priorities without stress.nAble to identify and assess issues, and provide solutions with sound judgement and confidence.nExceptional written and verbal communication, and able to manage senior stakeholders and gatekeep when needed.nAble to work in an office 5 days per week.
