Events Coordinator responsibilities include tracking shipments, overseeing individual events needs and maintaining the Payment Sheets as well as cover all administration around the logistics and deliveries.
Ultimately, you will increase profitability and effectiveness by maintaining optimal stock levels of quality products at all times.
This is to include stock consumables for production and organizing all logistics and deliveries to sites in order to minimize costs.
Responsibilities:
Receive venue orders and progress to appropriate supplier to create and receive invoice
Invoice and correct information entered onto Payment Sheet for Accounts to process.
Immediate contact made with suppliers and our own production team once payment is made in order to ensure that goods are received by each venue as soon as possible in order to optimism sales.
Liaise with suppliers to establish MOQ and most efficient delivery schedules as well as keep up to date with offers and current stock holding.
Effective communication to the Events managers to align on delivery times, discuss current stock holding needs and priorities and outstanding orders/Payments.
Effectively communicate with logistics team and drivers to ensure stock and equipment is delivered in time and at the very best price.
Ensure that Production Team have the stock they need to keep production at optimal levels.
Liaise with consumable suppliers to ensure 100% availability of stock at the very best prices.
Required
Proficiency in MS Office (especially Excel) and working knowledge of accounting software.
Excellent mathematics and problem-solving skills.
The ability to consistently meet deadlines and to work well under pressure.
Excellent organizational skills and attention to detail.
