OVERVIEW OF ROLE
The GPC AP Co-ordinator reports to the GPC AP Administration Manager, supporting all GPC AP London business units.


All personnel are expected to contribute to creating a positive HSEQ culture within Subsea 7 and ensure familiarity with and adherence to local HSEQ codes and practices.


GPC AP Coordinator
Coordinators are assigned to the GPC AP Admin pool, picking up tasks from the GPC AP Admin mailbox by priority and as and when required:

  • Arrange travel, including:, road, rail, sea and air travel; accommodation.
  • Attend project kickoff meetings to ensure visa requirements and timelines are fully understood.
  • Liaise with internal and external stakeholders; visa agents, project teams to ensure that timescales are possible for visas to progress.
  • Liaise with projects, regional offices and HSEQ to ensure that incountry project briefing and travel packs are current.
  • Ensure all the important documents, i.e. passport, are kept safe and returned to personnel.
  • Where applicable ensure timely renewal of visas for countries
  • Ensure Visa processes are continually updated with the latest requirements.
  • Providing comprehensive administrative support to the Directors of the GPC AP Management team and their teams.
  • Organise set up of new starters and leavers including management of distribution lists.
  • Become Microsoft 365 Champion and assist other users including management of team sites.
  • Arrange/attend meetings: room bookings, invitations, refreshments, preparation of documents and agendas, equipment setup, minutes, action tracking, as required
  • Assisting with expenses as and when required via SAP Concur
  • IT Requests and troubleshooting for the Team. Cover similar work as and when required including holiday cover for the pool of Admins.

PERSON SPECIFICATION

  • Proven relevant experience
  • Good proficiency in written and spoken English, also numerate
  • Knowledge of Microsoft office 36
  • Keyboard skills / touch typing / formatting and layout
  • Creates agendas and takes meeting notes
  • Proficient with Microsoft Office Programs (Intermediate or Advanced)
  • Active interest in office technology (O365, SP Online, etc.)
  • Effective Communication and Customer Service Skills
  • Proactive, flexible with a cando attitude
  • Strong Prioritisation and Organisation Skills
  • Strong attention to detail
  • Ability to Handle Confidential Information and work without supervision
  • Good time management skills and ability to balance responsibilities

GPC AP Coordinator

  • Two to five years relevant experience (NVQ Business Administration Level 3 or equivalent)
  • MS Office (Intermediate or Advanced), or ECDL (Basic or Advanced)

GPC AP Senior Coordinator

  • More than 5 years relevant experience
  • Supervisory skills, including mentoring, delegation, assertiveness

SYSTEMS

  • MS Office suite, Outlook, SharePoint, Visio, Powerpoint, Excel, and other standard office software to Intermediate and Advanced user levels


SAP
  • Time entry, manhour reporting and approvals


SAPConcur travel/expsenses

  • Knowledge of Microsoft 365 tools
  • Understanding of use of internal systems such as; BMS, PLM, Virtual Library, etc.
