Executive Assistant

This role's primary focus is to support our clients CEO, as well as periodic support to the leadership team, to free up their time from administrative tasks. The role will play a key part in ensuring travel, meetings, and tasks for the CEO are managed efficiently, and will be a key contact for employees, customers and producers.

Key responsibilities:

  • Book business travel arrangements, including flights, transportation, and accommodation
  • Management of diary, availability requests and meeting scheduling
  • Inbox management (reviewing correspondence received, responding and actioning, ensuring matters are given the appropriate timely attention)
  • Manage and ensure a full suite of meetings are diarised, sent to the relevant attendees with agendas in advance
  • Liaise with Office Management on meeting room set-up prior to meetings
  • Minute taking at leadership and management meetings, and subsequent tracking and communication of action points
  • Creating and updating calendar invites to all staff for Company meetings and events
  • Liaise and schedule meetings with Customers, producers, and other external stakeholders
  • Support CEO and leadership team with relevant internal communications, helping to create, structure and distribute in the best ways possible
  • Coordination of reports required for board meetings
  • Liaise with the leadership team and offer wider support, where appropriate
  • Liaise with key clients on the Directors behalf.
  • Ad hoc meeting/project involvement as the CEO sees appropriate
  • Monitor, review and approve expenses of CEO direct reports
  • Coordinate, approve and diarise annual leave requests from CEO direct reports
  • Further administrative support as requested and when required by CEO

About You:

  • Previous experience of Executive/Personal Assistant roles
  • Interest or experience within the wine market would be hugely beneficial
  • Ability to prioritise and react with appropriate urgency to unexpected developments or situations
  • Excellent interpersonal, verbal and written communication skills
  • Highly organised, self-motivated and efficient
  • Superior attention to detail
  • Approachable, calm and sociable
  • High level of integrity and discretion in handling confidential information
