Guidant Global is recruiting on behalf of a highly recognised university for an Admissions Officer for a 5-Month contract with an immediate start.

Main purpose of the job
  • Responsible for: the administration of all aspects of the processing of applications across the area of undergraduate, Initial Teacher Education, affiliate and graduate admissions; handling enquiries received from applicants, parents and schools/colleges; supporting the UKVI points-based immigration process as it applies to undergraduate admissions.
  • The postholder works using their own initiative in a self-directed manner, referring complex problems or issues requiring policy decisions to the appropriate Senior Admissions Officer.
  • In undertaking these responsibilities, the postholder will liaise with prospective students and their representatives, members of staff in academic units and Professional Services divisions and external agencies.

In this role, you can expect to:

Duties and responsibilities
  • Handling enquiries regarding applications for study from applicants, parents and schools/colleges (in person, by telephone, email and letter) for programmes within the remit of the central Admissions Office.
  • Processing applications across the areas of Undergraduate, Initial Teacher Education, Affiliate and Graduate admissions, including: creating database applicant records; managing on-line applications using the SITS student database, the electronic workflow and the applicant portal; qualifications checking and assessment, including the application of contextual data; processing aptitude test results (as appropriate); arranging interviews; decision processing including offer letter production; fee status determination; updating database records for transmission to UCAS, including confirmation decisions; and, verification of qualifications.
  • Where centralised decision-making takes place - against agreed criteria, assessing the suitability of applicants for a programme of study to determine their potential to succeed and making the selection decision on whether to admit the applicant. Liaising with relevant Admissions Tutor in cases where a decision is unclear.
  • Liaising with Senior Admissions Officer and Admission Tutors regarding offer production and conversion rates to ensure offer quotas and intake targets are being met.
  • Liaising with UCAS regarding specific applicant records as and when required.
  • Liaising with schools and school partners as and when required.
  • Supporting the Occupational Health clearance process for all relevant applicants, providing clear and accurate information to applicants, monitoring payments, and recording the results in a timely and accurate manner.
  • Supporting the Disclosure and Barring Service clearance process for all relevant applicants, providing clear and accurate information to applicants, monitoring payments, and recording the results in a timely and accurate manner.
  • Representing the institution at Higher Education recruitment fairs and other related events.
  • General administrative duties such as filing, scanning, sorting post and archiving.
  • To ensure effective communication with line manager regarding work in progress, implementation of developments and emerging trends or issues.

Special working conditions

  • For staff working within Undergraduate Admissions, leave cannot normally be taken between the second week of August and the first week in September. In addition, staff are required to work on the weekend of A Level results publication.
  • Staff may be subject to the following, as determined at the discretion of the Head of Department: restrictions on the taking of annual leave during the main enrolment period of each academic year and/or at times of high section-specific workload; occasional work outside of normal hours, on weekends and/or business travel.
  • Student and Registry Services operate agile working practices, which include: hybrid working, with a minimum expectation of one day per week in the office, a clear-desk policy as standard, and opportunities for compressed working hours. Working arrangements are subject to the needs of the division.

Other or occasional duties

  • SRS staff may be called upon to assist with additional duties relating to Health and Safety as required; this may include acting as a Safety Liaison Officer, First Aider or Fire Marshall. Staff may also be invited by the Executive Director of Student Services and Registrar from time to time to volunteer for roles in SRS deriving from other strategies, policies or initiatives.

SRS divisional expectation

  • All postholders in SRS are expected to contribute to major events and activities delivered by the division. These include enrolment, examinations, A-level publication, and graduation. The precise duties to be undertaken will be agreed between the staff member and their line manager. This will not include additional periods of leave embargo in addition to any arrangements that may be in place relating to the core duties of specific roles.
  • All postholders have a responsibility to carry out their duties in a resource efficient way and actively support the Sustainability Strategy, policies and objectives within the remit of their role.

We're looking for candidates who have:

Qualifications, experience and knowledge

Admissions experience within a Higher Education setting

Experience of working in a high-volume data processing, customer service environment

Qualifications commensurate with education to A level or equivalent, including proficiency in English and Mathematics

Skills and abilities

Fast, accurate typing and keyboard skills

Excellent IT skills, including a working knowledge of MS Office applications and knowledge of using databases

Excellent organisational skills, including the ability to prioritise work and think clearly and work calmly to meet service standards under pressure

Good interpersonal skills, with a tactful and diplomatic approach to communication (both verbal and written)

Ability to evaluate information against set criteria and guidelines

Ability to complete high-volume and repetitive tasks to consistently high standards of speed and accuracy

The ability to learn and adhere to procedures, and to observe and follow regulations

Ability to work as part of a team and share relevant information
