Job Overview:

We are seeking a medical secretary to be responsible for undertaking a wide range of secretarial and administrative duties.


The role is for 4 days per week, 8 hours a day, with an unpaid 30 minute lunch break and two 15 minute paid tea breaks.

There is flexibility on start and finish time between 8am and 6pm, this can be discussed with the successful applicant.

Duties can include, but are not limited to:
Typing letters, reports and associated documentation as required

Digital dictation using Lexacom software

Liaising with external agencies such as hospitals and community services, ensuring referrals are processed efficiently

Managing all enquires in an effective manner

Maintaining an accurate referrals database

Processing calling letters as requested

Inputting data into the patient's healthcare records as necessary

Processing referrals using the electronic referral system (ERS)

Answering incoming phone calls, transferring calls or dealing with the callers request appropriately

Managing all administrative queries as necessary

Carrying out system searches as requested

Supporting all clinical staff with general administrative tasks as requested

Person Specification:

Educated to GCSE level or equivalent - Essential

GCSE Mathematics and English (C or above) - Desirable

NVQ Level 2 in health and social care - Desirable

Experience of working with the public - Essential

Experience of administrative duties - Essential

Experience of working in a healthcare setting as a medical secretary - Desirable

Excellent communication skills (written and oral) - Essential

Strong IT skills, including audio typing - Essential

Clear, polite telephone manner - Essential

Competent in the use of Microsoft office programs - Essential

EMIS web experience - Desirable

Effective time management skills - Essential

Ability to work as a team and autonomously - Essential

Good interpersonal skills - Essential

Ability to follow policy and procedure - Essential

Able to be sensitive and empathetic in distressing situations - Essential

Will consent to a Disclosure Barring Service (DBS) check - Essential
