Based out of our UK head office, the Receptionist role plays a critical function across all business areas.

From welcoming visitors to the site to answering our main switchboard to the management of our incoming and outgoing mail this role supports the business throughout.

This role is a customer-facing role and is an exciting opportunity for anyone who enjoys providing a high standard of customer service and providing a positive experience for our customers.

Meeting and Greeting Visitors & Staff. It is important for the organisation to ensure visitors and colleagues get the best impression possible upon arrival and therefore a key function of the receptionist role is to meet and greet them in a professional and friendly way, issuing visitor passes and informing people of Health and Safety information. Part of this meet and greet also includes ensuring our welcome area is maintained and kept clean and tidy throughout the day including restocking the coffee machines if required. Arrange transport for visitors if needed.

Switchboard Management. The answering of all incoming calls to our switchboard as well as the handling and redirection of all these calls is a main function of this role.

Co-ordinating Incoming & Outgoing Postal Services. There are many functions when co-ordinating the incoming & outgoing postal services that are included in the role from sorting and delivering the incoming mail to collecting and franking the outgoing mail. Also included in this will be scanning and forwarding documents such as accounts payable invoices. To include the arrangement of couriers if needed.

Administrative support. This will include support for the Fleet and HR team such as driving/parking fines on a daily basis, issuing of vouchers, updating the HR system with training hours, supporting in-house charity days, general letters, employee references, visitor tracking for Tax purposes and other ad hoc support.

Ad Hoc Business Services Support. There are background projects that will come and go over time to support different business areas in an administrative role. These projects will be explained on a project-by-project basis.

The person we are looking for.

  • Enjoys speaking with customers and colleagues both in person and via the phone
  • Has strong administrational and communication skills and can provide excellent written and verbal communication to both our colleagues and customers
  • Is a team player and is willing to provide support and assistance to not just the immediate team but colleagues across the business
  • Has a willingness to learn and develop in the role and is always striving to improve processes to achieve individual and team goals

Knowledge

  • Experience in customer service is desirable
  • Strong administration skills are essential
  • Strong written and verbal communication skills are essential
  • Previous receptionist experience is desirable but not essential

Training for this role will include opportunities to develop skills in Microsoft Excel and Microsoft Outlook as well as a key focus on the development of customer skills
