We are excited to announce that we have an opportunity for an organised and friendly individual who is ready to take the next step in their admin career as a Customer service Coordinator.
Prior experience working within student accommodation would be desirable.
About the role
Working as part of a team to provide a high-quality customer focused centralised Student Services. To provide a welcoming, professional and effective front of house to tenants, customers and visitors.
Your day-to-day tasks will include but is not limited to the following:
- Works closely with a team providing a one stop reception service providing excellent customer service to tenants, visitors, suppliers and contractors on a daily basis.
- Deals with enquiries and requests from tenants providing the solution and support required.
- Utilize the database platforms of Room service, Digs Support Portal and Picasso to manage tenants/customers accounts.
- Ensure information is accurate and up to date, maintained in a logical and accessible manner.
- Deal with queries in a professional manner via person, telephone or electronically.
- Deliver a high level of customer service ensuring the customers have a fantastic experience.
- Assist the Accommodation Manager in facilitating tenant welfare onsite and through University support teams.
- Maximise occupancy by employing effective sales techniques, delivery of site viewing, taking part in the University open days and Applicant visit days and efficient administration of sales documentation.
- Support and communicate with potential sales enquires with the aim of converting these into a booking.
- Assist with reducing the site rental arrears by following the arrears process.
- Check and update the Digs Support Portal and respond to any tickets in timely manner.
- Assist with prioritizing jobs on the Digs Support Portal reflecting the priority and urgency of the tasks in hand.
- Deal with Administrative tasks including but not limited to
- Short term lets, Cancellation requests, room moves, allocations of rooms, refunds and student communication.
- Assists in maintaining the security of the property through the allocation of keys and electronic fob access system.
- Deals with daily mail sorting and distribution.
- Attendance to emergency situations such as fire alarms and requests for assistance from colleagues.
- Assist in delivering the site termly inspections, student check out and check in's.
- Assist and support the Accommodation Manager with any required tasks.
Planning and Organisation
- Manage workload in line with customer needs and management targets.
- Works in an organized manner, within health and safety guidelines.
Decision Making
- React positively to critical and all urgent issues with or without input from other agencies whilst reprioritising other daily tasks.
- Show an analytical approach and initiative when dealing with emergency or business critical situations.
Required Knowledge and Skills
- Education: Senior school education with minimum C grade in GCSE (or equivalent) Mathematics and English.
- Accurate, professional and confident communicator.
- Strong customer focus.
- Can do attitude.
- Proficient user of MS-Office Suite and specific site database system.
- Flexible to the needs of business.
Schedule:
- Working hours 12:00 19:00 Monday to Friday
- Weekend availability

£10.42 per hour
