The Medical Records Library is based on Priorswood Industrial Estate with plenty of free onsite parking.


A Medical Records Clerk is responsible for retrieving medical records from the medical records library and ensuring those records are sent to clinic preparation areas, secretaries, wards and departments in a timely manner and ensuring that returned records are filed correctly in the medical records library.

Shift Pattern 6am until 2pm Monday to Friday.

There will be times when staff need to be flexible to work different shift patterns.

There is also a requirement to cover occasional weekend and occasional bank holiday shifts.


The Medical Records clerk will be required to adhere to organisational core values and behaviours, departmental policies and objectives to provide a high quality, efficient and effective service.

The Medical Records Library is based on Priorswood Industrial Estate with plenty of free onsite parking.

Communication and Key Working Relationships

The medical records clerk may come into contact with all staff who use paper case notes across the Trust.

The main working relationships will be with:

  • Medical Records Clerks/Supervisors
  • Data Access and Disclosure Office
  • Information Governance Team
  • Medical Secretaries
  • Out-Patients Team
  • Ward Receptionists
Planning and Organisation

  • Generation of hourly print outs for case note requests
  • Ensuring case notes are sent out in a timely manner
  • Ensuring case notes are sent to the correct locations
  • Ensuring that searches are made for missing case notes, this may include full bay searches
  • Answering the phone to take emergency requests, ensuring appropriate information is collected to identify the correct patient and case notes
