We are looking for a highly motivated and experienced support secretary to join our very busy team within the Division of Surgery.

You will provide secretarial support to the Nutrition Team, CVAT and TACT.

Effective communication skills are essential as is flexibility.

You should have experience of office procedures, a good knowledge medical terminology, able to use your own initiative and also work as a member of a busy team.


This is a role which can be challenging but also rewarding as you seek to support the clinical staff and patients/carers to provide a joined up service where our patients will feel listen to and valued.

This is fixed term contract with possibility to become permanent after 12 months.


The work will cover a wide range of duties but will predominantly include providing a professional and comprehensive secretarial and administrative support service to the Nutrition, CVAT and TACT Team.

The post holder will be required to facilitate, support and coordinate the infrastructure required for the effective organisation of full meeting schedules required in support of the operational management functions of the Directorate of Surgery; they will work closely with the clinical staff of the facility to ensure an effective support for the Nursing Team, management and patients.

  • Be the first point of contact for all incoming day to day communications for the Nursing Teams, and have the ability to recognise priority and to field and flag where necessary.
  • Be the first point of contact for emergency booking to the Rapid Access Clinic. Recognising priority and arranging patient transport where required.
  • The central booking system for all patient appointments (Face to Face and Telephone). This includes contacting patients by phone or letter and booking the appointment on the Trust Harris Flex System, followed by the activation and discharge to ensure a seamless patient experience.
  • Responsible for all outgoing letters/correspondence by way of audio typing and uploading to Alma Administration.
  • Time manage and plan workload appropriately both autonomously and together as a wider admin team, knowing when to team huddle and reprioritise and allocate daily workloads. Often assisting under the INCS Admin umbrella. Multitask within a busy and dynamic department.
  • Being forward thinking and in the creation of innovative ways to streamline systems and working ways to meet the needs of an ever developing service.
  • To represent the Nutrition Nursing Team, responding to external and internal telephone queries from staff, patients and others and referring to appropriate person, acting in a professional, courteous manner at all times.
  • Work as part of the wider INCS, in particular with the MDT leads, the medical secretaries, the Nurse Specialists and Gastroenterology Consultants.
  • Handle customer concerns either by telephone or in person in order to achieve immediate local resolution whenever possible, in accordance with the Trust's complaints procedure.
  • Arrange patient facing MDT's for patients discharged home on Total Parenteral Nutrition (TPN) and patients who require complex Nutrition management
  • Manage electronic calendars for Nurses, organising meetings as required and accurate maintenance of an electronic diary with effective communication of diary commitments.
