Holiday Inn Leicester Wigston is looking for a Wedding Coordinator to join our team

Objective of the Role:

To grow revenue streams within the wedding and self-catering wedding related segments. To increase profitabilityboth reactively and proactively and to retain and develop our existing database of clients.

To ensure high quality service, on time and to budget by managing client delivery projects to enable us to fulfil our contracted promises to clients consistently which dove tails and leads to successful wedding management.


Key Duties and Responsibilities:

  • Creating wedding proposals/quotations which fit client requirements and presenting proposals/quotations by deadline.
  • Organise and undertake wedding show rounds on property. You'll need a creative flare to able to advise and guide clients should they need inspiration for events offering a 'concept to completion'.
  • Creating wedding contracts which fit client requirements and presenting contracts by deadline.
  • Issuing invoices and collecting deposits/payments in a timely manner in line with contract, and creating comprehensive and readable financial reports.
  • Project manage the successful delivery of your wedding from initial enquiry to post event feedback, to include followup with couples throughout the process, negotiation, wedding guest accommodation and post event opportunities e.g. Real Weddings.
  • Manage all online enquiries and respond by deadline as well as keep all online platforms up to date with the latest information, packages and offers.
  • Manage and keep up to date the hotel wedding tracker.
  • Manage and keep up to date the hotel wedding diary.
  • Demonstrating to client's strong knowledge of venue and vendor offerings.
  • Coordinating event entertainment, including music and performers.
  • Staying under budget while planning event specifications.
  • Anticipating and planning for different scenarios.
  • Create, manage and prepare a weekly sales report for your DOS. Track and proactively monitor all wedding enquiries and track performance against previous years. Focus upon actual revenue vs forecast as well as a detailed report on conversion rates.
  • Creating wedding handover/final details information which fits client requirements for hotel operations team. To ensure all event instructions are communicated effectively to other departments.
  • Communicating directly to your DOS marketing requirements to include offers, packages, brochures & flyers.
  • Work with your DOS in regards to additional promotion the creation of blogging text, social media inclusions and newsletter entries.
  • Proactively animate and maintain working relationships with wedding planners.
  • Proactively animate and maintain working relationships with traditional and selfcatering suppliers including documentation for events and referrals.
  • Proactively arrange and manage wedding showcase events at the hotel from invitations, setups, suppliers and viewings.
  • Proactively propose wedding fayre options internal and external. Arrange and attended such events to show case the hotel and facilities. This would include any exhibitions and local community networking opportunities.
  • Research and report upon competitor wedding activities. Creating analysis and actions in line with market trends. Regularly assess competition / new entrants / market trends with the DOS.
  • Drive sales and revenue through upselling.
  • Creating sales opportunities for future events during client liaisons and during events, including possessing a strong working knowledge of the company to further these sales opportunities.


Whilst it is not a pre-requisite that you are present on the wedding day, you must have the flexibility to be present when required.


Wedding Coordinator Skills and Qualifications

  • You must have at least two current years' experience within the weddings industry, planning and coordinating weddings for a hotel/venue.
  • A good understanding of different wedding and event cultures.
  • You will need a keen eye for detail and a real passion for customer service.
  • You must be a confident salesperson with excellent communication skills.
  • You must have a flexible approach to work and be professional and polished in appearance.
  • You must have a good working knowledge of Microsoft packages particularly Word, Outlook and Excel.
  • You must have your own transportation.
  • Be flexible in working hours and days of week worked.
  • Be a Wedding ambassador.
  • Proactive seller.
  • Remain calm, patient and polite, if receiving customer feedback.
