The key responsibilities of the post are set out below: Junior Doctor Rotations To assist the Medical Workforce Advisor managing and administering the onboarding/rotation process for Junior Doctors in Training from beginning to end in accordance with Trust procedures, best practice and employment legislation. To ensure that all pre-employment checks are completed in accordance with NHS Employers Employment Checks standards and Trust Pre-Employment Checks Policy for Doctors who join the Trust. To participate in job fairs / open days as required. To assist the Medical Workforce Advisor in sending out work schedules, offer letters and contracts.

To assist with arrangements for induction and pre-screening events and attend as required.

To provide advice on medical and dental terms and conditions of service and best practice in managing medical staff, with guidance from the Medical Workforce Advisor as required.

To produce employment references and confirmation of work letters as requested complying with information governance rules within the Trust.

Employee Information Systems Ensure that the Human Resources information systems (ESR and TIS), relating to new starters, changes in circumstances, leavers and post details, are accurate, up to date and processed within the required deadlines.

Provide reports as required e.g. starters and leavers.

Doctors Rostering System (DRS)/Exception Reporting To be proficient in the use of DRS, in order to assist with the management of the exception reporting process, specifically to:
Set up new DRS accounts for Junior Doctors in training and supervisors. Escalate exception reports on a daily basis.

Produce reports from DRS as required e.g. Exception Reports status.

Guardian of Safe Working To assist and support the Guardian of Safe Working with their duties in line with the junior doctor contract 2016 terms and conditions.

Junior Doctor Rest Facilities To be responsible for the organisation and management of the Junior Doctors rest facilities.


Relocation/Excess Mileage To process relocation and mileage expenses for approval by the Head of Medical Workforce and once approved to send to Payroll, Finance and HEE.

Absence Reporting To obtain and manage absence reports from host organisations and enter absences into ESR. Other To deputise for the Medical Workforce Advisor in her absence.

To comply at all times with the requirements of the health and safety regulations and the Trusts health, safety and welfare of others in the working environment and to participate in the drawing up of such regulations affecting the department.

To ensure confidentiality on all matters and information obtained during the course of employment.

To support the department and organisation by carrying out any other duties that reasonably fit within the broad scope of a job of this grade and type of work.
