The Role - Assistant Contract Manager

The Assistant Contract Manager (ACM) will need to possess excellent management skills and be able to communicate at all levels. The ACM will be able to inspire change in processes, procedures and working practices across the contract and. You will be customer focused and able to assist in the delivery of a wide range of services to a demanding client and end user.  You will need to demonstrate you possess the skills to maintain and develop a high performing team.  The role will provide challenges to time management and the ideal candidate will be used to dealing with an ever-changing workload.

 

Key Responsibilties/Duties

To ensure the NLS Contract is compliant with the relevant legislation and to be operating with the contractual obligations under the PFI Contract. To ensure full compliance with Health & Safety legislation within the Contract specification. To ensure all internal and external audits across the Contract are fully prepared for and all actions are monitored and closed within the given timeframe. To develop procedures and practices to ensure that these requirements are met.  To ensure the day-to-day operations are managed in line with the PFI Contract.  

 

FM Management

  • Support the Senior Contract Manager to lead, motivate and support a team of FM staff and sub-contractors in the day-to-day FM service delivery.
  • Assist in achieving all the KPI’s as detailed within the contract project agreements for all FM service delivery ensuring that payment penalties are at an absolute minimum.
  • Manage project specific risks including the preparation, implementation, monitoring, and review of Business Continuity Plans.

Compliance Management

  • In conjunction with the Technical Lead to manage, monitor, review and improve compliance to the Contract, either directly or through contractors.
  • Be proactive in identifying cost-saving and profit-making opportunities within the bounds of the Contract specification.
  • Review PPM and Reactive jobs on Helpdesk
  • Technical and Contractual Reporting
  • Track RBM Requirements

Asset Management

  • Room data sheets compilation and management
  • Asset tagging and PPM processing
  • Logging and auditing of FFE (annual inspection)
  • Continued Development of QFM as an Asset Management tool
  • Liaison with Regional Compliance/Technical Manager to ensure commonality and consistency of approach.

Soft Audits (Monthly)

Conduct internal audits and ensure any actions are recorded and closed within the appropriate timeframe, including:

  • Grounds
  • Catering
  • Waste & Pest Control (Termly Audit)
  • Helpdesk
  • Third Party Lettings

Service Management

  • Assist the Senior Contract Manager to develop and maintain systems and procedures to ensure the smooth running of the service.
  • Assist the Senior Contract Manager to proactively monitor and measure customer satisfaction both quantitively and qualitatively on a regular basis

Relationship Management

  • Build professional relationships with key external stakeholders to ensure customer satisfaction, whilst also meeting the organisation’s strategic and financial aims.

People Management

  • Development of technical skills within the in-house caretaking team and Site Managers
  • To manage the training matrix and ensure compliance and development through training across the NLS Contract.
  • To carry out and ensure in-house training is delivered through Toolbox Talks on a regular basis.
  • Assist the Senior Contract Manager in the recruitment, induction, development, and management of operational staff, in line with the Company and Statutory procedures, including safeguarding children’s requirements.

 

Skills Required

  • Excellent organisation skills and attention to detail is required
  • Leadership skills and the ability to motivate a team
  • Outstanding written and oral communication is required
  • Management of FM direct/outsourced service delivery (desirable)
  • Experience of PFI (desirable)
  • Financial Management
  • Experienced in the operation of an FM software package i.e. QFM (desirable)
