Governance Officer required by a leading membership organisation in the City of London. The postholder will provide a full range of administrative support and services in the governance function. The post holder will deliver a high quality, proactive and efficient service, reporting to the Governance Manager and working closely with colleagues to provide an integrated and holistic service in delivering efficient and effective committee meetings of the organisation.  

This is a full time, permanent position â paying £41,500 per annum plus excellent benefits â the role is hybrid working (both office and home based working) â offices located in the City of London, within easy reach of 3-4 London Underground and network rail stations.

Key duties include:
  • Provide committee secretariat support to various committees and panels.
  • Prepare, draft, and circulate papers and agendas, write and distribute meeting minutes and co-ordinate follow up actions
  • Support effective induction programmes for new members of General Assembly and the Board of Trustees
  • Support the delivery of General Assembly meetings
  • Support all member elections including; General Assembly, Vice-President; Board of Trustees and any ballots required under their charter 
  • Arrange and co-ordinate board and committee meetings including sourcing venues and monitoring budgets
  • Support and undertake company secretarial duties as directed by the Governance Manager
  • Support appointments to Committees, Panels and wider governance bodies as required
  • Take responsibility for updating and maintaining Governance pages on the website
  • Prepare briefings and reports for the Senior Executive Team, Presidential Team and Board of Trustees as appropriate
  • Manage the contracts register, register of interests and Gifts and Hospitality register
  • Assist with arrangements for presentations of Service Awards and Honorary Memberships as appropriate
  • Participate in corporate projects from time to time, manage the paper index and action logs
  • Produce management information reporting relating to Board and committee statistics
  • Consider the potential data protection implications before using or storing any personal data, referring to the Data Protection Policy or seeking advice as necessary
  • Deputise for the Governance Manager as required
Essential requirements:
  • Recent or relevant experience of working in a governance position
  • Experience of formal meeting and agenda management
  • Minute taking for committees and groups
  • Working with senior manager and directors up to Board level
  • Working knowledge and understanding of Data Protection legislation (GDPR and how they apply to the role)
