Office Administrator

ABOUT THE ROLE:
As part of our Office Support team, you will be committed to ensuring best-in-class service, delivery and communication at all times to our clients and agency. You will contribute towards our ‘polished’ office operation which is vital to keeping our clients, visitors, and staff happy - this is where the Office Support team works their magic
KEY RESPONSIBILITIES:
- Assisting the Office Support team with ad hoc tasks to promote the smooth running of our office premises
- Completing a daily walk around - checking all office areas/buildings and actively noting housekeeping actions, maintenance and general discrepancies
- Responding to and actioning all requests to our “Office Support” team emails, escalating to other team members when necessary
- Proactively monitoring the new starters and leavers e.g. updating trackers and sending leaver emails
- Financial - Setting up new vendors, raising PO’s & credit card requests
- Allocating lockers to staff and ensuring all leaver lockers are cleared and re-issued
- Checking office consumable stock and purchasing business-related items e.g. stationery, kitchen supplies, crockery and other building miscellaneous items
- Coordinate DSE assessments and take appropriate actions e.g. supplying equipment
- Assist the Office Manager in keeping the H&S tracker updated
- Assist the Office Manager in booking H&S courses e.g. Fire Marshal, First Aid, WAH, MH & Food Safety
- Helping to set up/clear down meeting rooms or cover the postroom duties during peak times.
SKILLS & EXPERIENCE
- Able to remain calm under pressure with good time management and a great ‘can do’ positive attitude
- Good organisational skills and great follow through on tasks
- Experience in a dynamic and fast paced work or agency environment and useful to have service or hospitality experience
- A problem solver with a strong and clear initiative
- Strong interpersonal skills, including excellent written and verbal communication
- Demonstrated natural ability to multi-task and implement priorities in a demanding environment with tight deadlines without compromising on quality or high service levels
- Alert, proactive, on the ball, and motivated
- The ability to think on your feet with an eye for detail and presentation
- An integral collaborator who cares about contributing to our culture
- MS Word – Excel and Google Suite
(Our office hours are: 9.00am – 5.30pm, in the office 5 days a week, however flexibility is required to support the needs of our business).
