About the Role

We have an excellent opportunity for a highly organised and detail-oriented Project Co Ordinator to support our civil engineering team in the delivery of current and upcoming projects. The successful candidate will provide project co-ordinating assistance and ensure smooth coordination of all project activities.

Location: London Gateway Port, Stanford le Hope, Essex

Hours: Full-time, 37.5 hours per week (Mon-Fri)

How you will contribute

  • Assist in the preparation and management of project documentation, including contracts, permits, and schedules.
  • Undertake financial tracking and supplier management, including raising Purchase Orders, tracking invoices and expenditure and ensuring contracts are in place for supplier services;
  • Coordinate and communicate with project stakeholders, including contractors, suppliers, and clients, to ensure timely and accurate information flow.
  • Maintain comprehensive project records and files, ensuring all documents are up-to-date and easily accessible.
  • Schedule and organize meetings, site visits, and inspections, and prepare meeting agendas and minutes.
  • Monitor project timelines and budgets and report any discrepancies or issues to the project lead.
  • Support the project team in maintaining compliance with safety regulations, inspections, quality standards and audits
  • Document Control
  • Provide general support such as attending meeting and recording minutes, answering phones, managing emails, co-ordinating team members diaries and handling correspondence.
  • Submit expenses for team members as required
  • Prepare and submit progress reports to Senior management team for all construction projects.
  • Maintain a register of key risks, Permits, Licences, Conditions & Consents, as required;
  • Collate and manage key data related to monthly reporting to Global and Regional project management system. Prepare necessary project progress reports as directed.
  • Contribute to the continuous business improvement process and to the meeting of business objectives;
  • Take a lead role in coordination of works with other departments;
  • Monitor, analyse and report on performance.

What you will bring

  • Excellent planning, communication and project co-ordination skills.
  • Ability to develop intellectually demanding plans that cut across all aspects of the projects and identifying the linkages;
  • Awareness of purchase orders, invoices and general financial management of projects.
  • Ability to work with teams from a range of backgrounds;
  • Pro-active, self-motivated, able to work using own initiative;
  • Awareness of policies and procedures to ensure resources are efficiently used;
  • Familiarity with industry and professional standards;
  • Ability to work flexibly within and quickly get to grips with new areas;
  • Analytical thinking - acquiring understanding of a problem or situation by breaking it down systematically into its component parts and identifying the relationship between these parts;
  • Ability to challenge to maintain focussed outcomes and consistent approaches.
